What You'll Do
The Business Executive supports the local Office Manager/Team Lead in the management of local office operations and facilities. The role requires leadership as well as an individual who is hands on, willing to roll his/her sleeves up and get the job done. This role will operate in a matrix structure– daily working with a senior local team in delivering high level of services but at the same time, able to work with the local Office Manager/Team Lead and deliver on agreed more strategic priorities.
The key aspects of this role which is demanding and fast paced covers the following areas:
Office Operation & Facilities Management
Overall responsible for:House Keeping services (cleanliness & aesthetic space management)Inventory of stationery and pantry supplier Repair & maintenance of office equipmentMaintenance of overall office infrastructure (carpets, flooring, plants, etc)Arrange Friday lunches and HODsMeeting room & visitor managementLiaison with building management and other relevant vendors/service providersInternal & External events held in officeFacilitate payment approval of local vendor invoicesManage vendor relationships to ensure service quality and commercial competitivenessMaintain vendor records and office subscriptions renewalsCoordination with building management on building related issuesManage Seating plansCoordinate office renovations/office movesLiaison with Insurance Broker on renewal of office insurance (All Risks, Fire & Perils & Public Liability)Accommodation allocation & flight bookings for SEA conference/Outing Events – All HandsSupervision of Office Assistants and overtime hours (if applicable)Emergency & evacuation procedures – update local crisis management plan & facilitate fire drills & BCG Emergency Alert SystemCoordination of EA back-upUpdate local office Facebook on monthly basisLiaison with BCG panel hotels in Kuala Lumpur on fly-ins accommodationOther operations projects that may be assigned from time to timeManagement of Petty CashSupport bulk printing request for case team and L&DWhat You'll Bring
College or Bachelor’s degree in HR, Business or related fieldsIdeally, 4 or more years of work experience gained in a professional services firm or similar fields such as office administration or human resources.Excellent written and spoken communication skillsTeam player yet able to work independently, with demonstrated ability to be flexible, responsive and to take initiativeDemonstrate strong interpersonal skills – able to work effectively with all levels of staffStrong organizational skills, ability to set priorities, display attention to details and is tenacious with follow-upsStrong customer service orientationAble to multi-task in a fast-paced, service-oriented environmentConsistently handle situations with tact and patience, and able to work well under pressure.
