Business Support Coordinator (Front Line to Supervisor) - Hilton Garden Inn Yokohama Minatomirai

The Business Support Coordinator provides accurate and efficient administrative support to the General Manager and across multiple departments such as Operations, Engineering, Safety & Security, HR & Finance, ensuring the smooth execution of systems and processes. This role contributes to the overall operational effectiveness of the hotel through reliability, strong attention to detail, and a consistent focus on supporting core business functions.

What will I be doing?

Administrative Excellence

\n\nBe a dependable and proactive team player who supports multiple departments with administrative tasks\nMaintain a high level of accuracy and attention to detail in all work\nDemonstrate professionalism and discretion when handling sensitive information\nBe flexible and adaptable to shifting priorities and departmental needs\n\n

Process & System Administration

\n\nAssist in the maintenance and updating of departmental systems and databases (e.g., HRIS, procurement, maintenance logs, financial trackers)\nGenerate reports, compile data, and support documentation needs for audits, meetings, and compliance\nSupport onboarding processes by preparing documentation, system access, and training schedules\nCoordinate internal communications and scheduling across departments\nEnsure filing systems are organized and up to date\n\n

Cross-Departmental Collaboration

\n\nProvide administrative support to Operations, Engineering, Facility Operations, General Management, HR and Finance\nLiaise with department heads to understand and prioritize support needs\nAssist in the coordination of internal events, training sessions, and compliance activities\nSupport procurement and inventory tracking processes as required\nHelp ensure that internal processes are followed consistently and efficiently\n\n

Tools & Technology

\n\nBe proficient in Microsoft Office Suite (Excel, Word, Outlook, PowerPoint) and other relevant systems\nLearn and use hotel-specific software and platforms as required\nTroubleshoot basic system issues and escalate technical problems appropriately\n\n

General Responsibilities

\n\nMaintain confidentiality and integrity in all administrative tasks\nUphold brand standards and internal policies in all work\nBe willing to assist with ad hoc projects and tasks as assigned by department heads\nBe a reliable point of contact for administrative queries and support\n\n

\n\nProficient in Japanese and English, both written and spoken to meet business needs. \nMinimum 2 years' experience in Administrative roles (e.g. - Personal Assistant, Department Assistant)\nExperience in hotel operational roles (e.g. - Front Office, F&B) preferred. \nHospitality / travel / leisure industry professional experience required. \nProficient in Microsoft Office applications.\nResourceful, creative and able to maintain flexibility. \nWorking experience within Hilton Group preferred. \n\n
