SALES TEAM SUPPORT
Being responsible for administration tasks of Sales department both B2C & B2BAdministration support in general for Sales & Marketing Management Prepare APV and request for payment to customers for the sharing sales programs. Internal & external communication to relevant stakeholders (clients, distributors and salesmen…)Daily collect and deliver all documents (APVs, contracts, and circulars…..) from Central & North offices, Plants => arrange, check and get approval, signing and stamped and send to customers and related departments. Assist Salesmen prepare any urgent documents/forms such as Cylinder Collection/Lending forms for approval, the send to Logistics and CS for executionAssist Managers and ASMs for business trip preparation.Assist Sales team in preparing and sending urgent documents and circulars because Salesmen cannot access laptop and internet timely.SALES TEAM PERFORMANCE AND MANAGEMENT REPORTSParticipate in selective sales department meetings, Management Business Review, make meeting minutes and follow-up.Collect and monitor daily and weekly reports from Salesmen.Collect relevant monthly reports, plans from Salesmen and consolidate their report for management quick view.Prepare Sales Objectives for Salesmen by products and areasPrepare the sales Incentive proposal for all Salesmen and Sales team.Calculate and propose the sales Incentive result for approvals and payments.DOCUMENTS ADMINISTRATIONPrepare the internal/external documents for sales department affairs. Assist the sales team in getting approval of sales documents, manage the filling systems for all kind of sales documents.Receive proposals from distributors to getting approval and send feedback.Support relevant departments on customer documents and information.Update and announce promotion program to Area Sales Manager and Sales ExecutiveCollect and analyze the market information from sales team and consolidate the report. Consolidate Price Benchmark report of all areas and send to Sales ManagerFocal point to follow up the BDF programs (100 programs per annum):Prepare the agreement with distributors for BDF program.Following up the documents (contract distributor with supplier, delivery note, invoice of the goods…sent by distributors, samples testing, requesting for approval to implement the program).Prepare the APV to pay to the distributors.Commercial discount and special commercial discount programs (100 annual programs plus 200 programs per month)Receive program of each distributor from Sales Manager (commercial discount, special discount and promotions…), and prepare discount announcement to each distributor and related department to execute the program timely.Monitor, check and collect the countersigned programs complying with Tax and IC procedure.Process the payments related to customers (Bat Trang, gas-shop trips, and other programs)Collect all the list, quantity of Tet gifts of all areas to prepare the New Year customers’ Tet gifts.Coordinate and support Marketing in distributing, sending gifts to all areas, as well as collect the customers/recipients list for APVCollect the support request from distributors, propose for approval, prepare and collect countersigned circular to file for audit purposePrepare Tet cylinder loan list for Manager approval, official reply to each distributor’s borrowing request.Consolidate annual sales volume to prepare new financial year programs and send the program to each distributor and customer (Distributor Incentive Trip scheme, Golden-Egg scheme….)Consolidate and prepare the tracking report of all the discount program for Sales manager.File and prepare the related Sales documents for internal Audit and external Audit.Support Marketing in organizing distributors, gas shops and customers tour.- Fulfill other tasks and/or assignments requested by the line managers whom the employee directly/indirectly reports to, and/or tasks requested by the board of management
Candidate Profile- Bachelor's degree in Business Administration, Economics, Commercial or equivalent.
- Has at least 3 years of working experience as Customer Service, Sales Operation or Sales Admin.
- Good administrative, teamwork, collaboration and communication skills.
- Ability to speak fluently both English and Vietnamese.
- Proficiency in MS Microsoft Office and computer skills.
- Attention to detail, accuracy and time management.
- Good impact influent and negotiation skills.
- Understanding of LPG business will be a plus.
