**The Opportunity**
This position works out of our Roodepoort offices, South Africa in the **Molecular Division** .
We are seeking a proactive and highly organized **Business Support Administrator** to provide comprehensive administrative, operational, and compliance support to the AMD leadership team and the broader division. This role requires exceptional coordination skills, meticulous attention to detail, and the ability to manage multiple priorities in a fast-paced environment.
You will play a critical role in ensuring smooth day‑to‑day operations, supporting senior executives, maintaining compliance standards, and enabling effective communication across the AMD division.
**What You’ll Do**
**Executive & Administrative Support**
+ Coordinate complex travel logistics (flights, accommodation, meals, visas) including PO processing and invoicing.
+ Prepare, process, and submit executive expenses (CTE/Concur) for the Managing Director, Country Manager & Sales Director.
+ Maintain organized filing systems for all POs, contracts, invoices, and expense records.
+ Provide administrative support for onboarding and termination processes.
+ Facilitate ordering of office supplies, IT equipment, furniture, name badges, consumables and business cards.
+ Distribute mail, screen calls, file documents, and provide punctual support to reception.
**Meetings & Events Coordination**
+ Coordinate on-site, off-site, hybrid and virtual meetings for the AMD division.
+ Book meeting rooms, arrange catering, and notify reception/security of visitors.
+ Compile professional meeting minutes for Leadership Team (LT) meetings and track action items via SharePoint.
**Compliance, Reporting & Systems Management**
+ Ensure purchase order processing aligns with compliance policies and meets required timelines.
+ Support compliance communication (ISO, LERN, OEC guidelines, Code of Business Conduct).
+ Update IIQ mail groups, manage access to shared network drives and group email accounts.
+ Assist Quality Assurance with updating contract records on systems such as Darius.
+ Track POs, placement, and payment closure for AMD Ops suppliers (Divpharm, Altan).
+ Assist with uploading historical and monthly documentation into SharePoint for audit readiness.
+ Support Market Access with bi-weekly path file submissions.
**Customer & Cross‑Functional Support**
+ Manage and route incoming customer calls; support order tracking.
+ Compile monthly customer call‑log reports and collaborate with teams to resolve queries.
+ Support organizational culture and cross‑departmental administrative initiatives as needed.
**Sales, Service & Tender Support**
+ Prepare quotations, proforma invoices, and FOC requests for Sub‑Saharan regions.
+ Check tender platforms daily for new opportunities.
+ Assist in tender submission preparation, including compilation of required documentation.
+ Print, bind, and prepare training material for sales and service teams.
**Congress, Exhibition & Sponsorship Coordination**
+ Coordinate UDA submissions and sponsorship requests.
+ Liaise with congress/exhibition organizers for bookings, payments and required documentation.
**General Operational Support**
+ Follow procedures to ensure office equipment remains operational.
+ Monitor cellphone accounts, ensure limits are not exceeded, and obtain justifications where required.
+ Process invoice approvals within policy limits and submit to Finance (CFS).
+ Submit HR documentation (attendance registers, doctors’ notes, training registers) monthly.
+ Provide administrative support to the APOC (Point-of-Care) team.
+ Support any other administrative functions required by the division.
**Experience & Qualifications Required**
**Minimum Requirements**
+ Grade 12 / Matric essential.
+ Advantageous: Qualification in Business Administration or Office Management.
+ 3–5 years’ experience in a business support, administrative or executive support role.
+ Proficiency in:
+ MS Office (Excel, Word, PowerPoint, Outlook)
+ Concur/CTE
+ SharePoint
+ Procurement systems
+ IIQ or similar mailbox/group-management systems
