Job Description: Facilities Administration Intern - HSBC Malaysia Branches
 

Position Overview:

As a Facilities Administration Intern, you will support the Facilities Executive team in managing administrative functions across HSBC Malaysia's network of over 50 branches. This internship provides valuable exposure to facilities management operations while developing professional skills in administration, coordination, and communication.


Key Responsibilities:

Administrative Support

Assist in processing and tracking work orders through the Corrigo system for branch maintenance requestsHelp maintain organized documentation for statutory permits, certifications, and compliance recordsSupport the preparation of meeting agendas and take detailed minutes for facilities team meetingsOrganize and file maintenance reports, inspection records, and other facilities documentation

Data Management and Reporting

Collect and compile data for monthly management reports and presentationsAssist with inventory tracking and stock reports across the branch networkHelp monitor budget expenditures and organize invoice processing documentationCreate and update spreadsheets for tracking maintenance schedules and completion status

Coordination and Communication

Schedule maintenance visits and coordinate with branch managers for accessLiaise with vendors and contractors to confirm appointment times and requirementsSupport communication between the facilities team and branch personnelAssist in coordinating emergency response drills and safety inspections

Project Support

Help prepare materials for tender processes and contract evaluationsAssist with research for facilities improvement initiativesSupport the implementation of standardized procedures across branchesParticipate in branch inspection visits when appropriate

Requirements:

Currently pursuing a degree in Business Administration, Facilities Management, or related fieldStrong organizational skills and attention to detailProficiency in Microsoft Office applications (Excel, Word, PowerPoint)Good written and verbal communication skillsAbility to manage multiple tasks simultaneouslyInterest in learning about facilities management and property operations
