**Job Description:**
**General information regarding the job:**
The role involves a wide range of administrative and marketing support for managers in the commercial department and/or department staff. The role involves monitoring and managing the activities in the promo events area as well as performing follow-up to relevant issues and informing the manager/staff on the status.
This job does not include incentives based on sales.
**Job tasks and responsibilities:**
+ Plan, organize and coordinate promo events such as Sales meeting, cycle meeting, Teambuilding, Bootcamps.
+ Check documentation in IConnect, upload files, process invoices for payment, check payment, close events.
+ It acts as a minute Keeper in the CV and sends the minute to the participants and their managers.
+ Keeps accurate records in various systems (HPR, iConnect, Lynx), processes invoices, checks payments, Invoices, follow-up, attach proof of payment in iConnect.
+ Create and check the contracts for speakers for GGP and Promo Conferences, send them for signature by e-mail to medical representatives, follow-up to sign them and send the billing data.
+ Draw up contracts for 3rd party events, such as a promotional stand, send them to the owners for signing, follow-up for signing and then send the billing data.
+ Process invoices in HPR, check payments and attach proof of payment in iConnect
+ Provides support for contract database management
+ Check the speakers/suppliers documentation before events are opened/closed in iConnect
+ Create and send surveys for internal events and 3rd party to team members, gather the results and present them to managers.
+ Supports event owners in iConnect to close events.
+ Active collaboration with brand managers for marketing projects, internal newsletters
+ Collaboration with Digital Manager for multi-area digital marketing projects.

Interactions with people within the company in order to fulfill day-to-day tasks, which include organizing events, payments (end-to-end process) & accruals, ensuring compliance with HCC rules and policies
Interactions with external people – agencies & commercial collaborators (service providers) for organizing events, providing payment information
