The Business Office Manager provides accounting, receivables and payables duties, supervises
reception staff, performs human resources functions including processing payroll, and assists
the Executive Director in overall functioning of the community.
Duties and responsibilities
• Interacts with residents and staff in a professional and friendly manner at all times.
• Prepares and submits resident/Medicaid billing statements for monthly charges.
• Processes and posts accounts receivables.
• Codes and enters accounts payable for community vendors.
• Reconciles vendor invoices and statements.
• Processes new hire paperwork and assists employees with health insurance enrollment.
• Completes new employee onboarding.
• Processes payroll.
• Maintains employee personnel files and completes new employee orientation.
• Maintains resident files.
• Keeps office neat, clean, and organized.
• Hires, trains, and supervises reception staff if applicable.
• Orders necessary equipment and supplies and maintains inventory control within
budgetary guidelines.
• Conducts community tours to prospective residents and/or families as needed.
• Promotes and maintains positive relationships with co-workers, residents, family
members and guests.
• Sorts and distributes incoming mail.
• On-call 24 hours per day, 7 days per week if needed, or on rotation established by the
community.
• Greet visitors to the community in a professional and friendly manner.
• Follows all OSHA, Fire, Health Department and safety requirements.
Qualifications.
• Two years office manager and supervisory experience.
• Ability to learn assisted living Medicaid billing processes, if applicable.
• Ability to maintain confidentiality.
• Basic understanding of business accounting methods.
• Basic knowledge of human resources, accounting, and payroll regulations.
