The Office of the University Registrar is seeking a **_Business Analyst_** **_for Academic and Event Scheduling_** who will report to the Associate University Registrar for Academic Catalogue, Academic Calendar, and classroom management and Scheduling. The Office of the University Registrar are technical and functional experts on all functions of the Registrar’s office including protection and integrity of the student records, reporting compliance, institutional needs, data stewardship, technical enhancements and business solutions.
This position serves as the supplemental interface between the Office of the University Registrar business area, divisional registrar offices, divisional leadership, University technology team and contracted services, assisting in the functional areas of academic and event scheduling, and classroom management. The Business Analyst will fully understand business problems presented and recommend creative solutions. They will support tasks and projects related to data-driven decision making, focusing on data integration, integrity, mining, analysis, and reporting. In addition, this position provides functional support to The Office of the University Registrar team, collaborates with University Information Systems team, and contributes to the success of technical and functional projects.
The Business Analyst for Academic and Event Scheduling oversees administration of the University-wide CollegeNET 25Live scheduling system, focusing on optimizing space utilization for academic and event purposes. The Business Analyst for Academic and Event Scheduling will possess the skill and ability to communicate and work effectively with various stakeholders. This position will work collegially and collaboratively with the associate vice president/deans, school registrars, academic department chairs, program managers, school leadership and university information systems teams to,
+ Support divisional registrars in the work to assign classroom spaces based on faculty input and instructional needs.
+ On-board and configure new buildings, new spaces, renovated spaces, and users into the 25Live system.
+ Identify usable spaces and facilitate changes/moves to make the space effective.
+ Optimize space use across the University, for both academics and events.
The Business Analyst for Academic and Event Scheduling will generate reports and analyses related to the utilization of space across the University and may also facilitate assigning access based on the established university wide access criteria.
**Specific Duties & Responsibilities**
+ Support the daily operation of the University scheduling software 25Live with database updates.
+ Serve as the 25Live system administrator ensuring effective, accurate, and efficient class scheduling.
+ Analyze space usage to ensure effective utilization of resources as well as identifying spaces.
+ Develop new uses and reporting formats for the university on space utilization.
+ Analyze space usage on all campuses to optimize space utilization and to forecast potential classroom impacts and make recommendations accordingly.
+ Provide training and support to department chairs, administrative associates, campus administration and others on the 25Live software to ensure optimal utilization of academic and non-academic space.
+ Create training documents and how-to guides for use university wide.
+ Create reports and documents used by the University as basis for accrediting body required reports.
+ Oversee the maintenance of the space inventory and education course databases to ensure accurate assignment of space.
+ Collaborate with University Information Systems on database refreshes, help ticket submissions, and system troubleshooting.
+ Collect data for new spaces/buildings and coordinate system configuration of new spaces ensuring accessibility and equity are prioritized.
+ Point of contact with vendor support team for software updates and technical and or functional issues.
+ Oversee access permissions for administrators and end-users.
+ Design and implement overall system process for scheduling changes and communication of these changes.
+ Participate on the 25Live Steering Committee to identify and implement methods and practices that result in successful administrative functioning for scheduling.
+ Monitor, observe, and ensure processes and practices that actively safeguard student data (per the University’s FERPA policy).
_Academic and Event Scheduling_
+ Work closely with all schools and as they finalize classroom requirements for classes to be offered in upcoming semesters.
+ Routinely accesses JHUs SIS as part of the academic scheduling process.
+ Supports schools use of CollegeNET’s classroom optimization software to create scenarios that lead to a best-case solution for the classroom schedule and efficient space utilization.
+ Acts as the point of contact for academic scheduling teams in support of their use of 25Live and scheduling integrations.
+ Works with Steering Committee to establish policies for scheduling spaces and resources across the university.
+ Works closely with division 25Live Functional Administrators to troubleshoot system issues.
_Reporting & Analytics_
+ Performs analyses, creates reports, and produces what-if scenarios using data from the CollegeNET X25 application.
+ Creates recurring and special reports for university leadership as well as individual school leadership using the CollegeNET software.
_Additional Duties_
+ Collects and maintains detailed information about all classrooms and other spaces that will be available for scheduling in the CollegeNET system.
+ Participate in room inspections of the classrooms and prepares a report of current status and needed maintenance, as needed.
+ Maintains OUR 25Live website.
+ Attend vendor sponsored trainings and events and other professional development opportunities to further develop expertise and knowledge of university scheduling operations.
+ Monitors and verifies that room scheduling requests comply with university policies and guidelines.
+ May provide administrative assistant support for the Associate University Registrar.
+ Work closely with facilities to address any physical issues in instructional spaces.
+ Performs additional duties as assigned.
+ Provide support for new initiatives as well as current systems related to scheduling
+ Research and resolve discrepancies in student information systems and other propagated systems. Recommend future systems improvements.
+ Administer data integrity and governance. Research and resolve discrepancies in reports. Recommend reporting improvements.
+ Collaborate on the testing of new business solutions, documenting processes, and providing recommendations.

**Minimum Qualifications**
+ Bachelor's Degree in related field required.
+ Three years of related experience providing functional, technical, or administrative support using scheduling systems.
+ Additional education may substitute for required experience, and additional related experience may substitute for required education beyond a high school diploma/graduation equivalent, to the extent permitted by the JHU equivalency formula.
**Preferred Qualifications**
+ General knowledge of higher education administrative services.
+ Experience working with Student Information Systems (SIS), classroom scheduling software (CollegeNET 25Live preferred), and website management programs.
+ Experience leading and/or coordinating projects.
