Business Administrator

About your role:

You will be providing administrative support to senior leadership, with potential outreach to the broader teams in the respective locations. It combines regular business administration and business assistant responsibilities, such as calendar management support to senior leader, travel coordination, and communication handling, with more strategic contributions, including stakeholder management, meeting participation, and internal communications. The role also plays an active part in driving employee engagement, supporting team initiatives, and contributing to a broader community of practice within the Business Administrator & Executive Assistant group.

Your responsibilities will include (but not limited):

Business Administration and Office Support:

Coordinate and arrange the leader’s business travel and all related activities, including visa management, hotel booking, itinerary planning, transportation, and meal coordination. Liaise with the EA in global/regional VF offices to coordinate and formalize itinerary.Partner with leaders in important business meetings, attending meetings when required, providing updates post meeting, maintaining minutes and update/follow through on agenda items (as and when required).Schedule, guide and manage the key engagements with internal and external stakeholders, and articulate communication both internally as well as externally.Support to establish timeframes, budgets and support special projects and key initiatives.Perform administrative and office support, such as spreadsheet creation and maintenance of filing system and maintaining database of contact information, email groups as needed.Provide local associates and visitors with guidance, information, and assistance related to in-country travel and visa arrangements as needed.Develop and distribute internal communications materials, including newsletters, announcements, and other content for employee-facing platforms (email, intranet, etc.).Support the management of internal stakeholder engagement globally to enhance regional visibility across VF.Coordinate and support the broader Business Administrator & Executive Assistant group for ongoing conferences, summits, visitor management (as and when required).Extend support and constant feedback to “community of practice” to better improve efficiencies within the Business Administrator & Executive Assistant group (as and when required).

Employee Engagement:

Collaborate with HR, other committees to propose, develop and execute employee engagement programs that foster a positive work environment and alignment with the company's values.Support with internal events, townhalls, community service initiatives, recognition programs that strengthen company culture and foster employee connections.Monitor the spending within the approved budget.  Timely tracking of spending to provide real time report for new event proposal.Assist trainers in all training workshops including venue arrangements and logistics setting up for successful workshops.Collaborate with country’s ambassador of diversity, equity, and inclusion (DEI) to effectively implement initiatives;
