Building Manager - 500,000 SF Office PropertyPosition Overview

We are seeking an experienced Building Manager to oversee the daily operations and management of a premier 500,000 square foot office building. The successful candidate will serve as the primary point of contact for tenants while ensuring optimal building performance, safety, and tenant satisfaction through comprehensive facility management and vendor coordination.

Key Responsibilities

Tenant Relations & Services Serve as primary liaison between tenants and building ownership, addressing inquiries, concerns, and service requests promptly and professionally. Conduct regular tenant meetings and property tours while maintaining detailed records of all tenant interactions. Coordinate tenant move-ins, move-outs, and space modifications, ensuring minimal disruption to building operations. Develop and maintain strong tenant relationships to maximize retention and satisfaction scores.

Facility Operations Management Oversee all building systems including HVAC, electrical, plumbing, fire safety, and elevator operations to ensure optimal performance and compliance with safety standards. Manage preventive maintenance schedules and coordinate emergency repairs with qualified vendors and contractors. Monitor building automation systems and energy consumption to optimize operational efficiency and cost management. Maintain detailed logs of all building operations and maintenance activities.

Security & Safety Oversight Implement and oversee comprehensive security protocols including access control systems, visitor management, and emergency procedures. Coordinate with security personnel and local emergency services to ensure building and tenant safety. Conduct regular safety inspections and ensure compliance with all local fire codes and safety regulations. Manage key control systems and security clearances for building access.

Cleaning & Environmental Services Supervise janitorial and cleaning staff to maintain high standards of cleanliness throughout common areas, lobbies, restrooms, and tenant spaces. Monitor and manage waste disposal, recycling programs, and pest control services. Ensure compliance with health department standards and implement COVID-19 safety protocols as required. Coordinate specialty cleaning services for carpets, windows, and building exteriors.

Vendor & Contract Management Select, contract, and manage relationships with service vendors including elevator maintenance companies, cleaning services, security firms, and specialty contractors. Negotiate service agreements and monitor vendor performance to ensure quality standards and cost effectiveness. Maintain vendor insurance certificates and ensure compliance with building requirements and safety standards.

Required Qualifications

Experience & Education Bachelor's degree in Business Administration, Facilities Management, or related field preferred, or equivalent experience in commercial property management. Minimum 5 years of experience managing large commercial office buildings, preferably 300,000+ square feet. Proven track record in tenant relations and customer service within commercial real estate environments.

Technical Skills Strong knowledge of building systems including HVAC, electrical, plumbing, and elevator operations. Familiarity with building automation systems and energy management technologies. Proficiency in property management software and Microsoft Office Suite. Understanding of commercial lease agreements and tenant improvement coordination.

Certifications & Licenses Building operator license or equivalent certification preferred. CPR and First Aid certification required or must be obtained within 90 days of employment. OSHA safety training certification preferred. Professional property management certifications (CPM, RPA, FMP) are advantageous.

Required Qualifications

Experience & Education Bachelor's degree in Engineering, Business Administration, Facilities Management, or related field preferred, or equivalent experience in commercial property management. Minimum 5 years of experience managing large commercial office buildings in Malaysia or Southeast Asia, preferably 300,000+ square feet. Proven track record in tenant relations and team management within Malaysian commercial real estate environments.

Language Requirements Fluency in English and Bahasa Malaysia (written and spoken) is essential. Proficiency in Mandarin or Tamil is advantageous given Malaysia's multicultural tenant base. Ability to communicate effectively with diverse tenant populations and government agencies.

Technical Skills Strong knowledge of building systems including tropical climate HVAC systems, electrical systems (240V Malaysian standard), plumbing, and elevator operations. Familiarity with building automation systems and energy management technologies suitable for Malaysian climate conditions. Proficiency in property management software and Microsoft Office Suite. Understanding of Malaysian commercial lease agreements and strata title management.

Certifications & Licenses Malaysian Certified Building Manager (CBM) or equivalent certification preferred. Certificate of Fitness (COF) for building operations as required by local authorities. First Aid certification and fire safety training as mandated by BOMBA. CIDB (Construction Industry Development Board) registration advantageous. Valid Malaysian work permit and driving license.

Regulatory & Compliance Knowledge

Local Regulations Thorough understanding of Malaysian building codes, fire safety regulations (UNIFORMS), and occupational safety requirements (OSHA 1994, FMA 1967). Knowledge of Strata Management Act 2013 and related property management legislation. Familiarity with local municipal bylaws and licensing requirements for commercial buildings.

Environmental Compliance Understanding of Malaysian environmental regulations including waste management, water conservation measures, and energy efficiency standards. Knowledge of Green Building Index (GBI) requirements and sustainable building practices suitable for tropical climates.
