We are seeking a Brokerage Coordinator to support a market leading team of Brokers at a top global real estate services firm. The role consists of execution of work related to commercial real estate transactions and client deliverables. This individual must be a collaborative team player with a can-do mindset and will participate in regular business and team meetings, as requested, to understand and facilitate client goals. This multifaceted role requires someone with strong organizational and project management skills, and the ability to multi-task in a fast-paced environment. This is a hybrid support function that will share with operation duties: managing front desk duties, handling mail, greeting guests and coordinating meetings.Job Description
KEY RESPONSIBILITIES
Office Operations
Creatively solve problems to ensure the market’s offices operate in an efficient and effective mannerSupport mail room operations (i.e., mail sorting, postage machine, fax and copy machines)Support office technology implementations, upgrades, support, facilities, telecommunications, emergency preparedness and business continuity planningEnsure corporate standards and internal company processes and systems are leveragedAct as a role model for the office staffTrack Listings and Deal-Related Expenses
Scan checks for depositExpenses for Office
Pay invoices for office and reconcile PcardAttribute expenses to specific deals or other codes and track against deal budgetVendor Management / Administration
Manage purchasing and maintenance of office supplies and office equipment (i.e., furniture, IT equipment, telephones, snack services, plants, etc.) by ordering through Workday, procurement, or outside vendorEnter all new local vendors into Workday and cleanse data, if requiredAct as liaison for property/building management and coordinate maintenance needsManage list of key vendor contacts, building management, security, engineering, etc.Other Administrative Duties
Answer phones and provide excellent customer serviceManage front desk, provide building access to clients and vendorsManage conference roomRestocking of kitchen and office supplies dailyWork in conjunction with ITExecute All Administrative Functions
Prepare AIR Forms - Purchase and Sale Agreements, Leases Agreements, Tenant Estoppels and Disclosures (Property Information Sheets and Seller’s Mandatory Disclosure)Draft Listing Agreements – Cushman & Wakefield and AIR Forms. Coordinate with Legal Department and Management to Finalize for Execution. Prepare Letter of Intents, Proposals to Lease or Purchase, Counter Responses and other Transaction Related Correspondences Enter expense reports into WorkdayManage Team/Broker Calendars
Schedule Weekly Team MeetingsSet and Confirm Client Meetings and Conference CallsSchedule and Coordinate Broker Events (Open House)Coordinate All Marketing Efforts
Create, Enter and Maintain Listings in External Listing Multiple Services (AIR, LoopNet, and CoStar)Maintain and account for our subscription with LoopNet and our team’s listings posted within Coordinate with Vendors (Aerial/Drone Photograph, Contractors, Consultants, Commercial Printers/Mailers and Copying of Plans)Maintain our Team’s Internal Active List of Property Listings and PursuitsPrepare Weekly Marketing Updates and Activity Reports for ClientsRespond and Track Inquiries on All of the Team’s Listings Prepare Property Surveys, Tour Books, Property Flyers/Brochure and other Marketing Materials as needed Research Availabilities and Comps in Listing Multiple Service and Internal Cushman & Wakefield DatabasePREFERRED BACKGROUND & EXPERIENCE

The compensation that will be offered to the successful candidate will depend on factors such as whether the position is covered by a collective bargaining agreement, the geographic area in which the work will be performed, market pay rates in that area, and the candidate’s experience and qualifications.
The company will not pay less than minimum wage for this role.
