Briefing Coordinator – Office of the President, UVA

The Office of the President at the University of Virginia seeks applicants for a Briefing Coordinator.  As an integral member of the President’s support team, the Briefing Coordinator collects and prepares materials for the President’s daily briefing binder. Briefings include high-level summaries, agendas, talking points (meetings and public events), financial reports, historical background, participant bios, proposals, and detailed travel itineraries. This is a deadline-based position requiring impeccable organizational skills and a keen ability to predict and anticipate next steps while prioritizing the immediate tasks at hand. The Briefing Coordinator is responsible for filing and keeping a complete record of the briefing binders, as well as monitoring and tracking upcoming speaking engagements and other events pertaining to the President’s calendar. The Briefing Coordinator provides support to the President’s executive team by sharing related briefing documents as needed and works on special projects as they arise, including serving as back-up to the President’s administrative staff. The Briefing Coordinator reports to the Interim Associate Vice President and Deputy Chief of Staff.

Duties and Responsibilities

Collect and prepare materials for the President’s daily briefing binder through meetings, phone calls, emails and additional research.Maintain highest level of discretion and confidentiality concerning all matters relating to the President and the office.Work hand in hand with President’s support team to track meetings, events, and speaking engagements to determine the level of detail and background information required to effectively inform the President.Prioritize tasks and collaborate with topic area experts as needed.Build and maintain excellent relations with President’s internal support teams and teams across Grounds.Coordinate with a variety of contacts to understand all aspects of event/meeting purpose, including President’s role, composition of audience/attendees, logistical details, run-of-show, bios for key contacts and participants.Create high level summary and provide detailed background as needed.Maintain focus on current schedule, while planning and preparing for future briefing deadlines.Maintain an electronic filing system of all briefing documents including confidential working papers, agendas, and attachments.Coordinate with Carr’s Hill Manager to share briefing documents, event tickets, parking passes, keys, and necessary logistics for the President.Assist with in-house lunch meeting set up/clean up; provide backup support to front desk/reception.Manage gift procurement, handwritten notes, and thank you cards.

Minimum Qualifications

Education: Bachelor's degreeExperience: At least four years of relevant experience or Master's degree with at least one year of relevant experience. Relevant experience may be considered in lieu of a degree.  Relevant experience includes progressive administrative and/or project coordination experience.

Preferred Qualifications

Computer skills, including Microsoft Office Suite (Word, Excel, SharePoint, OneDrive, OneNote, and Outlook).Google Suite (Google Docs, Google Spreadsheets, and Google Calendar).Excellent written, verbal, and interpersonal communication skills.Ability to multi-task, prioritize, and work in a fast-paced environment with tight deadlines.High level of discretion, confidentiality, and attention to detail.Ability to interact with people at all levels of the University and community. Dedicated team player with strong customer service orientation.Ability and willingness to work some evenings and weekends as needed.

Physical Demands

This is primarily a sedentary job involving extensive use of desktop computers. The job does occasionally require traveling some distance to attend meetings, and programs.

The anticipated hiring range is $70,000–$85,000, commensurate with education and experience.
