This role coordinates and executes administrative functions required within their assigned branch(es), including AR Invoicing, AP Processing, Payroll & Mobile Time Entry support and submission, sales support and reporting, HR Onboarding Compliance, and general office administrative tasks as assigned. This position requires interacting professionally and efficiently with external customers and internal personnel. **ESSENTIAL FUNCTIONS & RESPONSIBILITIES:** + Reviews and verifies all purchase orders, statements, and invoices to prepare payments. + Submits documentation to set up new vendors as needed. + Submits all invoices to Accounts Payable with proper GL coding to ensure payment. + Oversees Accounts Receivables and collections. + Review organizational billing practices to ensure invoice accuracy. + Export timesheets from Aspire and submit them for processing. + Processes MTE payroll for non-field personnel. + Performs payroll adjustments and researches payroll issues. + Provides operational reports to management as needed. + Provides administrative support to human resources functions, including onboarding (employment processing and drug testing), compensation, garnishments, workers' compensation claims, and maintaining employee records. + Manages office inventory. + Answers office phone calls and assists or redirects the calls as needed. + Other tasks as assigned. **EDUCATION & EXPERIENCE QUALIFICATIONS:** + High School degree required. An Associate or Bachelor’s degree is desirable. + 2 + years of branch administrative experience in landscaping industry or related field. + Experience in Aspire Landscape Operating System preferred. **SKILLS & ABILITIES QUALIFICATIONS:** + Formal experience and training in-office procedures and use of office equipment. + Excellent data entry skills and highly proficient in Microsoft Word, Excel and PowerPoint. + Self-motivated and a professional attitude. + Ability to communicate accurately and clearly both orally and in writing. + Superior organizational skills with a focus on detail and accuracy are required. + Excellent problem-solving skills and critical thinking capabilities. + We have proven confidentiality and high ethical standards. + Strong initiative, with the ability to stay focused and proactive while working independently. + Must be customer service-oriented with strong interpersonal skills. + Experience with Aspire business software is a plus. + Must be able to work full schedule at the branch office location. **PHYSICAL REQUIREMENTS:** **Key:** **Rarely** **= less than 10%** **Occasionally** **= up to 33%** **Frequently** **= up to 66%** **Continuously** **= 67% to 100%** **Rarely:** Crawling, climbing on/off truck, climbing poles, gripping, color vision, pushing, pulling, climbing ladders, balancing, lifting up to 50 lbs. **Occasionally:** Kneeling, squatting, sense of touch, manual dexterity, lifting over 10 lbs. to 50 lbs. **Frequently:** Standing, walking, stooping, climbing stairs. **Continuously:** Sitting, body twisting, speaking clearly, seeing distant, seeing, reading, hearing, depth perception, lifting up to 10 lbs. **Benefits** We offer a competitive range of benefits to support our employees’ health, well-being, and financial security.
