Bookkeeper / Office Manager

We are looking for a reliable and detail-oriented Bookkeeper / Office Manager who wants a long-term home and the opportunity to step into a key role as our longtime administrator transitions into retirement.

About the Role

This position supports daily bookkeeping, payroll, and office operations while working directly with the Treasurer and President. You will also supervise two part-time support staff and ensure smooth financial and administrative workflows across the business. The outgoing employee, Nancy, will remain through September to provide full training.

Key Responsibilities

Accounts Payable

• Oversee AP, match and pay invoices, process invoices received via email

Accounts Receivable

• Perform weekly billing in Excel and Word

• Process AR payments weekly and enter invoices and payments in Open Systems software

General Ledger and Month End

• Work within the GL in Open Systems

• Enter monthly manual journal entries

• Verify account totals and post monthly information

• Print and prepare monthly GL reports

Job Costing and Payroll

• Track AP and payroll for each job and phase using the Job Cost System

• Process payroll and support related bookkeeping tasks in QuickBooks

Administrative and Compliance Tasks

• Manage yearly renewals with ISNetworld and DCAM for Massachusetts

• Assist with pension paperwork and insurance audits

• Gather year-end documentation for the accountant

• Answer phones, prepare proposals, file, scan, and support daily office operations

• Supervise two part-time employees (AP and payroll support, plus AR and job site support)

Required Skills and Experience

• Bookkeeping or accounting support experience

• Proficiency in QuickBooks (required)

• Strong Excel and Word skills

• Experience with AP, AR, GL work, invoicing, and reconciliation

• Ability to multitask and stay organized in a small office setting

• Comfortable working independently and supporting leadership directly

Nice to Have

• Construction industry background

• Experience with job cost systems

• Familiarity with Open Systems accounting software

Pay Range
