Billing Specialist
Description We are looking for a knowledgeable and detail-oriented Billing Specialist to join our team in Los Angeles, California. This role is critical to ensuring accurate and timely billing operations, including supervising electronic billing systems and collaborating with attorneys to address billing-related inquiries. Responsibilities: • Prepare preliminary billing statements and process corrections requested by attorneys, ensuring billing batches are balanced and necessary data reports are generated. • Generate and distribute client invoices and statements with accuracy and attention to detail. • Oversee month-end closing procedures, including scheduling deadlines, supervising processes, and delivering month-end reports to attorneys. • Manage daily system operations, resolving hardware and software issues, and coordinating data exchanges between billing systems. • Execute electronic billing tasks promptly, including uploading invoices, troubleshooting submission issues, and monitoring invoice statuses. • Assist with upgrading system hardware and software to improve billing efficiency and functionality. • Handle inquiries related to billing, client master files, and attorney master files with professionalism and accuracy. • Apply retainer funds to invoices as directed by responsible attorneys and process write-offs in compliance with firm policies. • Submit and manage accruals for monthly client billing requirements. • Maintain attorney master files, including creating and updating timekeeper IDs for new hires and legal staff. Requirements • Minimum of 5 years of experience in billing or accounting, preferably in a legal or detail-oriented services environment. • Proficiency in accounting software systems, including ADP Financial Services and IBM AS/400. • Advanced skills in Microsoft Excel and familiarity with Microsoft Office Suites. • Strong knowledge of legal billing processes, including electronic billing systems and task-based billing formats. • Ability to manage and resolve billing-related inquiries and issues with attorneys, clients, and support staff. • Experience in processing monthly billing statements and maintaining accurate records. • Familiarity with computerized billing systems and legal software. • Excellent organizational and communication skills to coordinate billing operations and system upgrades effectively.
