Billing Manager
Description We are looking for an experienced Billing Manager to lead and oversee the operations of our billing department. This role requires a strategic and meticulous individual to ensure timely invoicing, compliance with regulations, and seamless collaboration across teams. The ideal candidate will bring strong leadership skills and a deep understanding of billing processes to drive efficiency and accuracy. Responsibilities: • Manage and supervise the daily operations of the billing department, including invoicing, payment processing, and collections, to maintain steady cash flow. • Ensure the accuracy and integration of billing data across systems such as PensionPro, FT Williams, and NetSuite, resolving discrepancies and improving workflows. • Monitor compliance with federal, state, and industry regulations, conducting regular audits and maintaining adherence to fiduciary standards and fee structures. • Lead and mentor a team of billing specialists, providing training, feedback, and fostering a collaborative environment for growth. • Develop and deliver clear communication materials for clients, explaining billing processes, fee schedules, and addressing inquiries promptly. • Generate detailed reports on billing metrics, payment trends, and outstanding balances to identify bottlenecks and support strategic decision-making. • Identify and implement improvements to billing procedures, including automation and collaboration with IT and finance teams to integrate new technologies. • Support client onboarding by setting up billing profiles, explaining fee structures, and ensuring a seamless transition into the billing system. • Collaborate with cross-functional teams, including client services, accounting, and IT, to align billing processes with organizational goals. • Stay updated on advancements in billing software and recommend upgrades or integrations to enhance efficiency and scalability Requirements • Minimum of 5 years of experience in billing management or supervisory roles. • Proficiency in billing functions, including invoicing, collections, and payment processing. • Strong knowledge of billing software and systems, such as PensionPro, FT Williams, and NetSuite. • Familiarity with regulatory standards, including fiduciary compliance and fee structures. • Excellent leadership and team management skills, with experience in mentoring and performance evaluation. • Exceptional communication skills, both written and verbal, for client interactions and team collaboration. • Analytical mindset with the ability to interpret data, generate reports, and optimize billing workflows. • Experience in 401k and RRSP administration is highly desirable.
