Bilingual Administrative Assistant (English/Spanish)
Description We are looking for a bilingual Administrative Assistant fluent in both English and Spanish to join our team in Guilderland, New York. This Temp-to-Permanent position offers an opportunity to showcase your organizational, administrative, and communication skills in a dynamic office environment. The role requires a proactive approach to managing daily tasks and ensuring smooth operations. Responsibilities: • Perform accurate data entry and maintain organized digital filing systems. • Scan and process documents efficiently while assisting with light banking tasks, such as check cashing. • Support timekeeping and invoicing processes to ensure timely and precise records. • Coordinate with internal teams and external partners to facilitate seamless communication and project execution. • Organize meetings, schedules, and appointments to optimize workflow. • Utilize Microsoft Office Suite, including Excel, Outlook, and SharePoint, for administrative tasks and reporting. • Manage payment processing and handle QuickBooks-related tasks as required. • Leverage bilingual skills in English and Spanish to communicate effectively with diverse clients and team members. • Conduct receptionist duties, such as greeting visitors and managing phone calls. • Ensure adherence to organizational processes and maintain a high level of attention to detail in all tasks. Requirements • Fluency in both Spanish and English is essential for effective communication. • Proficiency in Microsoft Office Suite, including Excel, Outlook, and SharePoint. • Familiarity with QuickBooks, Zoom, and general office software. • Strong organizational skills and meticulous attention to detail. • Ability to work independently while managing multiple tasks efficiently. • Previous experience in administrative assistance or office management. • Excellent timekeeping and document management capabilities. • Strong interpersonal skills to collaborate with team members and external partners.
