Position Overview:
As a Bilingual Administrative Assistant, you will play a vital role in ensuring smooth operations across the nonprofit's programs and administrative functions. You will work closely with the leadership team, staff, and community partners to provide bilingual support in day-to-day tasks, manage communications, and assist in coordinating events and services. Your ability to seamlessly switch between two languages will be instrumental in helping the organization reach and serve diverse communities.
Key Responsibilities:
+ Provide bilingual administrative support, including managing calendars, responding to correspondence, and prepping meeting materials.
+ Translate documents, emails, and communications as necessary to ensure inclusivity and clarity.
+ Greet and assist visitors, donors, and stakeholders in both languages, serving as a welcoming first point of contact for the organization.
+ Assist in maintaining donor and program records using CRM and other database tools.
+ Support event planning efforts, including scheduling venues, drafting communications, and coordinating logistics.
+ Create and format bilingual reports, newsletters, and presentations.
+ Monitor office supply levels and organize procurement.
+ Proactively identify opportunities to improve administrative efficiency.
Qualifications:
+ Fluency in English and Spanish (both written and verbal) is required.
+ Prior experience in administrative support, nonprofit operations, or project coordination is highly preferred.
+ Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) is required; familiarity with nonprofit CRM tools (e.g., Salesforce, Raiser’s Edge) is a plus.
+ Exceptional organizational skills and a keen attention to detail.
+ Strong interpersonal skills and a passion for working with diverse populations.
+ Ability to handle sensitive information with confidentiality and professionalism.

Requirements • Proficiency in answering inbound calls, handling customer inquiries efficiently and effectively.
• Excellent customer service skills, with a proven track record of maintaining customer satisfaction.
• Experience in data entry, with high levels of accuracy and attention to detail.
• Skilled in managing email correspondence, ensuring detail oriented and timely communication.
• Ability to handle both inbound and outbound calls, maintaining a calm and detail oriented demeanor.
• Proficiency in Microsoft Excel, with the ability to create, manage and analyze data spreadsheets.
• Experienced in using Microsoft Outlook for email, scheduling and task management.
• Skilled in creating presentations using Microsoft PowerPoint, with a focus on clarity and visual impact.
• Ability to create, edit and format documents using Microsoft Word.
