Benefits Coordinator
Job Title: Benefits CoordinatorJob Description This is a hands-on role that blends execution with leadership in benefits administration. The Benefits Coordinator will manage complex benefit programs, support strategic initiatives, and contribute to process improvements, especially during periods of organizational change such as acquisitions. Responsibilities + Lead daily administration of health, dental, vision, life insurance, disability, retirement, wellness, and leave programs. + Partner with vendors, brokers, and internal stakeholders to optimize offerings and resolve complex issues. + Monitor trends and utilization to ensure cost efficiency and competitiveness. + Ensure compliance with ERISA, ACA, HIPAA, COBRA, FMLA, and other federal/state regulations. + Support open enrollment and ongoing file feed processes, including employee education sessions. + Manage and audit benefit enrollments, reconciliations, and manual entries. + Close out tickets in the benefits system and maintain high accuracy in data entry. + Assist or lead benefits components of M&A due diligence activities. + Analyze target company benefit plans for design, cost, liabilities, and compliance risks. + Prepare detailed reports summarizing risks, integration opportunities, and alignment strategies. + Partner with legal, finance, payroll, and compliance teams to ensure smooth post-acquisition integration. + Oversee benefit transition and communication planning for acquired employees. + Identify opportunities for automation, efficiency, and enhanced employee experience. + Collaborate with HRIS and payroll teams to ensure system accuracy and functionality, especially within Oracle and Summit systems. + Support audits, vendor reviews, and RFPs for benefits providers. + Contribute to KPI tracking and initiatives to reduce error rates. Essential Skills + Proven experience in benefits administration, ideally in construction or a similarly fast-paced industry. + Strong knowledge of HIPAA, FMLA, ERISA, ACA, COBRA, and retirement plan compliance (including 401(k) reviews, NDT testing, and 5500 filings). + Experience with acquisitions and managing multiple short-term benefit plans. + Detail-oriented with strong auditing and reconciliation skills. + Comfortable with manual data entry and ticketing systems. + Ability to take initiative and thrive in a fast-changing environment. + Capability to work independently and collaboratively. Work Environment Core hours are from 8am to 4:30pm onsite in Mendota Heights. The team values consistent change and growth, with a focus on evolving processes and enhancing the employee experience. The environment is fast-paced with opportunities for internal mobility. Job Type & Location This is a Contract to Hire position based out of Saint Paul, Minnesota. Pay and Benefits The pay range for this position is $36.00 - $40.00/hr. Eligibility requirements apply to some benefits and may depend on your job classification and length of employment.
