Sales Order Management
• Accurately process customer orders in the current system and ensure proper order
review, entry, scheduling, logistics coordination, documentation, and trade compliance.
• Maintain customer data and process transactions such as quotes, purchase orders, deliveries, and returns.
• Ensure accuracy and completeness of all order- related documentation, including invoices, packing lists, and export documents.
Customer Communication
• Handle daily communications with customers, responding promptly to inquiries, order updates, and complaints to ensure customer satisfaction.
• Liaise with freight forwarders, resolve shipment or customs issues, and coordinate
bank- related documentation for LC collections.
Internal Coordination
• Collaborate closely with Pricing, Planning, Logistics, and Production teams to align on order status, production schedules, and delivery timelines.
• Support communication between departments to achieve monthly sales targets and Key Performance Indicators (KPIs).
Documentation & Compliance
• Prepare and submit customs declaration documents, shipping documents, and LC collection paperwork.
• Ensure compliance with company policies, audit requirements (ASAT, IMEX), and internal/external control processes.
• Maintain accurate records to support both operational and audit readiness.
Other Responsibilities
• Provide administrative and operational support as assigned by supervisor.
• Contribute to continuous improvement initiatives to enhance customer service efficiency.
• Support future system transition and process standardization initiatives when
implemented.
• F.5 or above education level.
• Minimum 10 years’ experience in customer service, L/C collection, shipping, or logistics.
• Strong understanding of international trade regulations and export procedures.
• Experienced in preparing shipping and LC collection documents.
• Proficient in order management and customer database systems (experience with Wintrade preferred).
• Strong interpersonal, communication, and problem- solving skills.
• Detail-oriented, proactive, and able to work independently under pressure.
• Fluent in English, Mandarin, and Cantonese.
• Computer proficient – Excel, Outlook, Word, PowerPoint.
• Positive attitude, self-motivated, and eager to learn.
• Strong teamwork skills and ability to handle heavy workload efficiently.
