**Purpose**
Contributes to the overall success of the Global Event Marketing Team globally ensuring specific team and individual goals, plans, and initiatives executed/delivered in support of the team’s business strategies and objectives. Ensures all activities conducted follow governing regulations, internal policies, and procedures.
Under the guidance of the Operations Manager, Global Event Marketing, this position oversees/manages all the necessary operational, support, and administrative functions on behalf of the Global Events Team, as assigned by the Manager.
The Operations and Support Functions team is critical to the success of the Global Events team in the delivery of events across all Scotiabank business lines. This role may also involve a leadership function in the hiring, training, and performance management of Event Coordinator(s). This role interacts with and provides direction to all levels of the Global Event Marketing group. From time to time, this position may be called upon to manage, support, and/or execute events across all Scotiabank Lines of Business. The Individual must represent the organization with professionalism, courtesy, and integrity.
**Accountabilities**
+ Champions a customer focused culture to deepen client relationships and leverage broader Bank relationships, systems and knowledge.
+ Provide operational, support, and administrative functions as assigned: subject to periodic change and re-assignment.
+ Event/Registration Management: manage andmaintain the Registration / Event Management platform, related features, and functionalities:
+ Monitor / analyze platform requirements for corporate needs and make recommendations
+ As a subject matter expert, provide strategic input and guidance on design, build and deployment of complex registration forms, cross-functional reports, event landing pages, reporting / data analytics, and surveys
+ Build, oversee, and manage the event registration sites and processes, including management of event email inbox(es)
+ Ensure data integrity within the event/registration platform
+ Develop and maintain success metrics and advanced event reporting
+ Identify risks to timelines and provide solutions to ensure all deliverables are met while managing client and team expectations with care and consideration
+ Provide support and management to our enterprise partners who require online registration tools
+ Provide documentation and internal training to users
+ Ensure timely production and delivery of event collateral, such as name badges, table cards, and additional items at the discretion of the Event Manager
+ Provide strategic input and feedback to the GEM Management team to help streamline and improve operational processes and offerings
+ Event-in-a-box” tool: develop, deploy, andmaintain GEM’s Event-in-a-box tool
+ Design and manage the “Event-in-a-box” tool
+ Maintain and update the tool on a constant basis and funnel/record its deployment
+ Gather metrics on usage reports and engagement to constantly update and evolve engagement
+ Mobile App: develop,maintain, and deploy the mobile app as required for assigned eventsØ
+ Periodically evaluate features and work with the GEM team and the vendor to identify strategic opportunities for improvement

+ Managing cost allocation for App to events.
+ Support on sourcing and proposals as required:
+ Work with team of event managers to do research into venues and destinations when requested.
+ Create proposals under guidance of event managers.
+ Management of Event Coordinator(s): performance management, coaching, as well as scheduling, capacity management, training, and development of coordinator team:
+ Monitor and balance work assignments, capacity, and overtime hours Coaching, performance management, training, and development
+ Managing conflict and resolution
+ Identify opportunities for coordinators to achieve goals by providing relevant feedback gathered from peers and observations, and coaching through skill building
+ Internal Controls
+ Understand how the Bank’s risk appetite and risk culture should be considered in day-to-day activities and decisions
+ Coupa (procurement), Third Party Risk Management (TPRM), Taxation, Legal and Compliance, Operations and Finance
+ Managing, onboarding, and maintaining GEM vendors/suppliers in the necessary BNS systems
+ Works within GEM Framework, proactivelyidentifying opportunities to improve processes/procedures:
+ Maintain standardized templates, processes, and standard operating procedures (SOP)Ø
+ Assist with team initiatives organizationally that contribute to long-term operational excellence, driving efficiency, collaboration, and consistency
+ Maintains the integrity, accuracy, and organization of event records and documentation on the event portal and the Global Event Marketing shared drive
+ Admin duties may include, but are not limited to:
+ BCP plan maintenance, MS Teams Champion, IT Assistance, onboarding/offboarding, health and safety protocols, participation in meetings as required, and other tasks/duties as required
+ Understand how the Bank’s risk appetite and risk culture should be considered in day-to-day activities and decisions.

**Education / Experience / Other Information**
Basic Skill Set Required
+ Degree, diploma, or minimum of 3 years of work experience in a similar role ithe n event and/or project management
+ Procedures management: comprehensive knowledge of project development and management, ability to provide procedural recommendations and techniques to both management and employees
+ Ability to write/present information in a clear, concise, and professional manner
+ Proven proficiency with computer hardware/software, including MS Office Suite (Excel, Word, PPT, & MS Teams)
+ Exemplary communication, and presentation skills (written and verbal)
+ Exceptional analytical skills
+ Ability to problem solve under pressure (e.g., time constraints, demanding clients, and change in requirements) and strong problem-resolution skills are major requirements for success in this position.
+ Knowledge & experience with event registration platform(s) (e.g., Access, Cvent)
+ Experience or knowledge of third-party risk management tools processes (procurement, legal, compliance)
+ Familiarity with basic accounting principles, attention to detail, and diligence with follow-up is required
+ Experience in the financial services industry as well as awareness of the financial services competitive marketplace and trends is an asset
+ The ability to speak/write in French and/or Spanish is an asset
+ Flexibility to work evenings and weekends
