Job Description

The primary function of the Associate, Procurement is to support internal and external users of the PTP (procure-to-pay) program within AbbVie (which includes SAP (System Analysis Program Development) S/4 HANA, SRM (Supplier relationship management), SAP S/4 HANA, and supporting systems). The role is critical in providing high levels of customer satisfaction to both AbbVie employees and suppliers. The role must ensure all inquiries are managed effectively and supported in the customer interaction with PTP. The Procurement Assistant works closely with all Procurement users of the system, including Procurement leaders, PTP support functions, internal requisitioners and suppliers.

Responsibilities:

In depth understanding of all aspects of PTP SAP S/4 HANA, SRM. Expert in the use of procurement tools including but not limited to: SAP S/4 HANA, SRM, Vendor Onboarding, e-Procurement tools, Invoice Tracker, POCN tool and contract management.At times may be requested to initiate Purchase Orders to Suppliers and changes to Purchase Orders.Initiate & manage the process of creating new vendors & updating vendors in the system. This is in alignment with the relevant category manager and Preferred Supplier Network.Monitor & keep up to date on process outsourced team managing PTP transactionsAt times support drafting & review of Confidential Disclosure agreements for a subset of stakeholders. Investigate and aid in the resolution of invoice issues related to purchase orders. Maintain the required level of compliance and on-the-job training.Understand existing preferred supplier relationships for certain spend categories, contracting methods and help drive enquiries and to these suppliers. Review and resolve all enquiries in a timely manner, within established SLA’s (typically 48 hours). Identify, develop, and implement improved and standardized buying practices to ensure adequacy of PTP process. Educate requisitioners on the same.Meet regularly with stakeholders and support functions to ensure customer satisfaction and continuous improvement. Develops and maintains necessary work instructions and job aids to maximize performance in completing job functions.Seek, develop, and maintain business relationships with clients. Support monthly / regular reporting and updates. Monitor TONKEAN request statuses on a regular basis, take appropriate actions on pending transactions and escalate issues to manager as needed.Monitor/troubleshoot automation issues within our scope and escalate issues to the BTS support team and leadership as appropriate.
Qualifications
High school degree or equivalent years of experienceA minimum of 3 years of progressive experience in a Procurement function or supply chain, preferably in the pharmaceutical industryStrong analytical, problem solving and interpersonal skillsKnowledge of Procurement systems, i.e., SAP, Ariba, Coupa, Tonkean, contract management and Sourcing toolsCPM certification desiredExperience with SAP (S/4 HANA & SRM) and Sourcing tools preferred, but not required
