Key Responsibilities:

Purpose and Job Context:
The majority of World Vision’s work is implemented at the community level, seeking to build local community understanding and capacity such that they can take leadership in their own development. In this approach, World Vision’s role is as a facilitator, building linkages between community and government, and bringing in additional resources, both financial and technical, to assist in this work. A thorough understanding of local community context and dynamics is essential to the success of World Vision’s work as this enables us to work effectively in the right way with the right people. World Vision’s core approach is an integrated area approach, in which a number of projects are implemented in a defined area, with the aim that community members participate in, and benefit from, all projects in a holistic manner.
The majority of projects in World Vision’s programmes are funded by child sponsorship and as a result a Sponsorship Integration Project is one of the projects within the programme. This project aims to ensure that sponsorship standards are being met, but that at the same time these are integrated into the development projects such that sponsorship can be an active contributor towards development.
The role of the Sponsorship Assistant is to manage and maintain WV’s sponsorship correspondence and information systems for a designated number of Registered Children and/or a designated area, while also contributing to effectively communicating WV’s approach to sponsorship to the target communities. This will involve significant work with correspondence and computer systems, but also some time in the communities to contribute to effective relationship building. Sponsorship Assistants are identified as either Correspondence or Systems, to distinguish whether their main focus is on managing correspondence, or managing data systems.

Major Responsibilities:

Facilitating Correspondence
 Receive and log correspondence from sponsors, including letters, GNs, child initiated letters, introductory letters and APRs.
 Review and translate these into local language and assign to relevant sponsorship volunteers.
 Track the progress of responses from sponsored children; identify any expected correspondence that is in danger of being late, such that Development Officers and sponsorship volunteers can follow up on these.
 Receive and log correspondence from community members; translate and provide to Systems staff for data entry.
 Prepare captions for new communication materials including Community Photo Albums, Child Special Moments Videos and Community Introductory Videos
 Review and translate sections of the APR and Christmas Card to ensure these are available in English and Portuguese.
 Translate concept notes for sponsorship events, and prepare reports on special events.

Sponsorship Monitoring
 Provide training to sponsorship volunteers to ensure they understand sponsorship monitoring requirements, ensuring that monitoring forms are correctly provided in local languages and that data collectors understand these.
 Review monitoring forms to verify for completeness and accuracy.
 Regularly update Development Officers regarding gaps in sponsorship monitoring, to ensure that they can support sponsorship volunteers to meet targets.

Data Management
 Review data provided from sponsorship volunteers or other data collectors; identify errors and seek clarification on these.
 Advise data collectors on repeated errors and provide necessary training to ensure that quality of data collection improves.

Programme Design and Planning
 Participate in programme design processes to ensure that a sponsorship is well understood and effectively considered during project design, considering sponsorship as an asset for children.
 Advise on opportunities for sponsorship integration during project planning, building sponsorship processes into sector project designs such that sponsorship work does not have to be done separately.
 Contribute to the development of annual plans based on project designs, ensuring these are updated based on new learnings.

Programme Evaluation and Reflection
 Participate in reflection meetings with at Administrative Post and District level. Contribute learning from implementation such that a culture of learning is fostered within the district team.
 Participate in programme evaluations, ensuring sponsorship issues are effectively considered.

Person Specification
Education and Knowledge
 Completed Grade 12 or equivalent; Bachelor’s Degree preferred
Experience
 At least 2 years’ previous work experience.
 Experience of data entry and working with different languages. Experience of development is an asset but not essential.
Skills/Abilities
 Excellent written and oral communication skills, including main language of area of assignment, Portuguese and English.
 Ability to work as a team member in a diverse team
 Strong computer skills in Microsoft Word and Excel, or other similar software, and ability to learn new software packages.
 Detail focus, with an ability to review significant quantities of similar work and identify gaps.
 Ability to communicate in a simple manner that can be understood by non-technical people.
Work Environment
 Based at the Administrative Post, with frequent travel into the communities.
