In this role, you’ll show your mettle as you find ways to uphold excellence and high standards in our Transport process. Working closely with the Account Lead & Client to align with Transport Operations for the Client and execute Transport strategies for initiatives for Facilities Management Services. Manage supplier relationships including administrative and operational activities. Ensure all Jones Lang LaSalle contracting standards are maintained.

As a Assistant manager - Transport at JLL, you will play a crucial role in driving Transport strategy and performance for our global organization. You will lead complex Transport initiatives, provide strategic insights to senior leadership, and ensure it aligns with our Client’s long-term goals. Proven track record of developing and implementing Transport strategies that drive business growth
Strong understanding of Transport markets, risk management, and corporate Transport principles
Excellent analytical and problem-solving skills with the ability to translate complex Transport data into actionable insights
Demonstrated experience in leading and mentoring high-performing teams
Proficiency in forecasting, and budgeting
Duties & Responsibilities:
To be strategic and oversee the site level operations
Vendor Performance Score card to be maintained and updated every quarterly. Monthly meeting with the vendor management team and share the MOM with Senior Management team.
Ensure Vendor contract tracker summary is maintained and coordinate with Client team for renewals and revised addendums.
Ensure all the security guidelines laid down by the client in terms of transportation for female staff are adhered to. Any deviation to be escalated to proper channel
Monthly meeting to be arranged with SPOC’s and address the query raised.
Prepare the Transport plan during BCM Situations and actively participate in the meeting held by the client for planning BCM Situation.
Work closely with billing team in relation to the payment of invoices and monthly accruals.
Ensure the monthly/weekly MI on operational summary and costs are shared with Senior Management team as per the time frame.
Contribute to the Monthly Management Report to (Client)
Ensure compliance of regulations / requirements of JLL management in line with regulation at Client sites
To interact with a wide range of client staff and demands.
Provide guidance to the site team & develop strong client relationship
Create initiatives, new projects & minimize cost of operations
Control on costs and ability to make the transport function efficient and effective as per industry benchmark.
Work closely with billing team in relation to the payment of invoices and monthly accruals.
Ensure the monthly/weekly MI on operational summary and costs are shared with Senior Management team as per the time frame.
Mailer to be sent to the client if any operational disruptions due to any unavoidable situations affecting the production hours.
To ensure each cab/ shuttles leaves in advance before the shift login time.
Monitor the pick ups of the employees scheduled.
Reports to be prepared as required by the management and the client;
Handling all employee escalations during the shift.
To maintain Shift Registers for Transport Security, Vendors and Drivers
Ensure routes and trip list is created on time.
To maintain Vehicles run to schedule and pick up all staff;
Closure of helpdesk priority and ad hoc calls.
Ensure SLA report (on time arrival) is prepared and submitted as per agreed procedure.
Assist in preparing weekly shift rosters.
Carry out routine vehicle inspections as per approved check list.
Attending regular meeting with process/ deals on regular basis.
Inform any kind of operational disruption, incident/accident immediately to the transport manager
To ensure that transport staff provides timely distribution of pickup & drop list is provided to the vendors.
To ensure that transport staff & vendors staff tracks the timely & safe pickups and arrivals of employees & service providers.
Ensure defined travel times are met.
Ensure accident or crisis management is addressed.
Ensure incident reports are circulated within 24 hrs.
To act as a single point of contact for the designated facility for all transport escalations.
To ensure all reports, checklist, statutory compliance is always adhered.
To ensure accuracy of the data, analyse the transport costing and highlight the management accordingly.
To assist during audit process and provide audit report with proper justification wherever required.
To ensure proper deductions and penalties are reviewed periodically & action taken accordingly.
On time closure of audit findings.
Monitor vendor performance and escalate issues as required.
Daily Dashboard/Operation Report
Prepare & maintain Team Attendance
Oversee the staffing, performance, development of transport team.
Understand the transport scope and develop specific processes & procedures to reduce cost & improve client satisfaction.
Accomplish Key Performance Indicators as agreed with Accenture.
Coordinate with transport city lead or Account manager on the goal setting, performance reviews, and career development plan for transport team.
To ensure Transport Policies, Processes & procedures are adhered by all transport staff in the facility.
To ensure necessary training plan is scheduled and train the transport team/ drivers as per schedules.

You should have earned a diploma or degree. Having five to seven years of experience in facilities management will also prove indispensable. We’ll also expect you to work as a part of a diverse team in both leadership and individual contributor expertise, initiate energy management program for reducing the cost on utilities.
