Assistant Reservations Manager

SUMMARY 

To provide assistance to the Director of Front Office, Group Coordinator, PBX Operators, and Central Reservations staff on a daily basis. To act on behalf of Front Office Management, whenever the manager is unavailable, or as needed. Represents the Front Office Management at meetings and functions where a manager’s presence is required. Prepares weekly, monthly and annual reports. Provides guidance and support to the Group Coordinator and PBX Operator team. Assists Director of Front Office with hiring and disciplinary action when the manager is unavailable.

ESSENTIAL FUNCTIONS

Major areas of responsibility/ management include, but are not limited to:

Ensures incoming reservations are detailed properly, other departments are informed, service standards are exceeded, and MHR OCIS profile database is maintained with up-to-date information using Opera and supporting technologyInteracts daily with the Group Coordinator and Central Reservations team to facilitate group and Meetings & Events reservations, as needed, or in the absence of the Group Coordinator. Interacts with group contacts as necessary, sending them updated rooming lists and pickup reportsAttends all pre-convention meetings; supervises the preparation and timely distribution of all monthly group reportsPrepares and distributes weekly, monthly and annual reports, including but not limited to the following: Pickup Reports, ACD Reports, Marketing Statistics, Call Conversion Reports, and Public Relations Tracking Reports, etc.Manage department associate engagement, scheduling, payroll, recruitment, counseling, feedback and quarterly department meetingsMaximizes room revenue by enforcing the selling of correct room rates determined by the Director of Revenue Management, while balancing important individual, travel agent, and corporate relationships

QUALIFICATIONS  

One-year experience of managing a team of five people or greaterOne-year experience working either at the front desk or in the reservations department for a luxury hotelPrevious customer service experience, multi-line telephone usage and reservations experienceMust have excellent verbal and written communication skills, as well as be able to speak, read and write the primary language(s) used in the workplaceGood cognitive skills; the ability to solve problems and make rational decisionsAbility to work at a computer for 8 or more hours per day, while answering the phone and typingHigh school or equivalent educationAdvanced skills in Word, Excel, PowerPoint, and Outlook; daily use of nearly all programs will occur

PHYSICAL REQUIREMENTS 

Position requires walking and giving direction most of the working day. Must be able to stand and walk for 8 hours a day. Requires grasping, writing, standing, sitting, walking, repetitive motions, bending, climbing, listening and hearing ability and visual acuity. Must be able to lift up to 25 lbs. on a regular and continuing basis. Must be able to push and pull carts and equipment weighing up to 250 lbs. occasionally.
