What this job involves
Internal point of contact for the department and teamAssist with onboarding processes of new team membersSupport on project administrative tasks including, but not limited to, meeting room booking, team meetings, track and distribute company gifts/coupons, inventory and tracking of department items and properties, arrangement of trainings, events, etc.Support in contract preparation, tracking, managementCoordination of contract legal reviews and approvalsChop application, delivery, preparing, and filing contracts and other documentsProject and payment setupTrack, request, coordinate monthly fee forecast updates for data entry on online company platform per monthly finance and review deadlines; verify actual billing and payment amounts against forecastTrack, obtain, process monthly billing, department and vendor payments, expenses per company policy and financial deadlinesCoordinate and communicate with vendors as necessaryProactively raise any discrepancies observed for clarificationDemonstrate proficiency in the use and application of all PDS technology and any Client technology as requiredWork as part of a team and demonstrate a proactive focus on meeting internal, Client, and project requirements in a timely and cost-effective mannerInterested? 3-5 years of relevant experience is requiredAbility to prepare and track budgetsHighly organized with strong analytical skillsStrong interpersonal skills with an ability to interact with executive level Clients, both external and internalOrganizational skills with the ability to identify and manage prioritiesExcellent written and verbal communication skills including good English reading and email writingDetail orientedAbility to multi-task and proactively work both in a team and independentlyProficiency with Microsoft Office Suite – Excel, Word, PowerpointWillingness to learn and use company digital platformsEagerness to assist and support the teamProactive and takes instruction wellPreferred
