Job Title: Assistant Project Coordinator
Job Description
The Assistant Project Coordinator supports project teams by administering project tracking systems, maintaining project documentation, and providing clear, data-driven reporting. This role helps ensure that construction and commercial projects run smoothly from initiation through close-out by coordinating information, responding to stakeholder inquiries, and recommending process improvements.
Responsibilities
Request, compile, and provide reporting on key performance indicators to support project decision-making.Maintain and update project policies, procedures, and directives within the operations manual to ensure accurate and current documentation.Serve as a systems administrator for internet-based project tracking systems, project websites, and the job cost accounting system, ensuring data accuracy and accessibility.Respond promptly to internal and external customer inquiries regarding performance reports and project tracking system data.Assist project management teams with implementing and monitoring adherence to project administrative practices and policies.Support project teams in executing project close-out procedures, ensuring all documentation and system updates are completed accurately.Act as the project team liaison to the technology department for tracking and resolving desktop hardware and software issues related to project systems.Gather, analyze, and interpret project and performance data to identify and solve complex problems, including those with little or no precedent.Recommend new techniques, tools, or approaches based on data analysis to improve project tracking and reporting.Positively impact your own team and closely related teams by sharing insights, best practices, and process improvements.Suggest and help implement improvements to existing processes and solutions to enhance the efficiency and effectiveness of the project team.Essential Skills
High School Diploma or GED.3–4 years of job-related experience in project coordination, project management support, or a similar role.Comprehensive understanding of a range of processes, procedures, systems, and concepts within your job function.Ability to evaluate unusual and complex information and communicate it in a concise, logical, and easy-to-understand manner.In-depth knowledge of Microsoft Office products, including Word, Excel, Outlook, and related tools.Advanced organizational skills with the ability to manage multiple tasks, deadlines, and priorities.An inquisitive mindset with a strong desire to understand processes and identify improvements.Advanced math skills, including the ability to calculate percentages, discounts, markups, and other advanced figures accurately.Experience supporting project management activities in construction, commercial construction, or construction management environments.Strong project coordination skills, including tracking tasks, timelines, and documentation.Additional Skills & Qualifications
Experience in project management, construction, construction management, or commercial construction is highly beneficial.Experience working with project tracking systems, project websites, and job cost accounting systems.Demonstrated ability to gather and analyze data to solve complex problems and recommend new techniques or process improvements.Strong written and verbal communication skills for interacting with internal and external stakeholders.Ability to collaborate effectively with multiple teams and departments, including technology support teams.Attention to detail and accuracy when managing documentation, reports, and system data.Work Environment
The role operates in a professional office environment that supports construction and commercial project teams. You will work extensively with computer-based tools, including internet-based project tracking systems, project websites, job cost accounting software, and the Microsoft Office suite. The position involves frequent collaboration with project managers, coordinators, and technology support staff, as well as responding to inquiries from internal and external stakeholders. Work typically follows standard business hours, with periods of higher activity during critical project milestones and close-out phases. The environment emphasizes organization, accuracy, and continuous improvement, with a focus on data-driven decision-making and efficient project administration. Professional office attire is generally expected.

Pay and BenefitsThe pay range for this position is $28.00 - $32.00/hr.
