Assistant Project Lead - Documentation Controller Jones Lang LaSalle (JLL)
Position Overview
JLL is seeking a detail-oriented Assistant Project Lead - Documentation Controller to support project management teams in maintaining comprehensive project documentation systems across commercial real estate initiatives. This role focuses on document management, quality control, and process coordination while providing support to senior project managers.
Key Responsibilities
Documentation Management & Control Establish and maintain centralized project documentation systems, including drawing management, specification tracking, and correspondence filing. Implement document control protocols to ensure version control, distribution tracking, and secure storage of sensitive project information. Coordinate document reviews and approvals across multiple project stakeholders.
Project Support & Coordination Assist project leads with administrative tasks including meeting coordination, action item tracking, and progress reporting. Support project scheduling activities by monitoring deliverable timelines and coordinating with consultants and contractors. Maintain project databases and ensure accurate data entry across all project management platforms.
Quality Assurance & Compliance Review project documentation for completeness, accuracy, and compliance with JLL standards and client requirements. Conduct quality control checks on drawings, specifications, and reports before distribution. Ensure all documentation meets regulatory requirements and company formatting standards.
Communication & Stakeholder Interface Serve as primary contact for document-related inquiries from project team members, consultants, and clients. Coordinate document distribution and maintain communication logs. Prepare project status reports and documentation summaries for leadership review.
Process Improvement & Training Identify opportunities to streamline documentation processes and recommend system improvements. Assist in training team members on document management procedures and software platforms. Support implementation of new documentation technologies and workflows.
Required Qualifications
Bachelor's degree in Construction Management, Architecture, Engineering, or related field. Minimum 3-5 years of experience in project documentation, construction administration, or real estate project support roles.
Strong organizational skills with attention to detail and ability to manage multiple concurrent projects.
Essential Skills
Excellent written and verbal communication abilities with strong interpersonal skills. Proven ability to work independently while supporting team objectives. Detail-oriented approach with capability to identify inconsistencies and errors in technical documentation.
Understanding of construction documentation including drawings, specifications, and contract documents. Familiarity with commercial real estate project delivery processes. Ability to prioritize tasks effectively in fast-paced environments with competing deadlines.
Technical Competencies
Experience with cloud-based document management platforms and version control systems. Knowledge of architectural and engineering drawing standards and conventions. Proficiency in Adobe Acrobat, PDF, and electronic document processing.
Basic understanding of building codes, construction processes, and project lifecycle phases. Familiarity with contract administration and change order documentation. Experience with data analysis and report generation tools.
Preferred Experience
Previous experience in commercial real estate, corporate facilities management, or construction industry. Knowledge of JLL project management methodologies and client service standards. Experience supporting large-scale office, retail, or industrial projects.
Professional development in project management principles or document control certifications. Background in quality assurance or process improvement initiatives. Experience with international projects or multi-location portfolio management.
Working Conditions
Project site-based position. Standard business hours with flexibility for project deadlines and client requirements. Some travel may be required for multi-market projects.
Collaborative environment requiring coordination with diverse project stakeholders including architects, engineers, contractors, and client representatives.
Career Development
This role provides excellent advancement opportunities within JLL's project management organization. Successful performance can lead to progression to Project Manager, Senior Project Coordinator, or specialized roles in construction management or facilities consulting.
