Overall Role
The Assistant Manager – Workplace Experience is responsible for leading and overseeing the delivery of workplace services to ensure a consistently high standard of occupant and guest experience. This role requires a proactive approach, attention to detail, and a commitment to maintaining safe working practices. The Assistant Manager will drive alignment across the Workplace Experience team, vendor partners, and other stakeholders to achieve customer delight and operational excellence.
Key Responsibilities
Leadership & Team Management
Lead, mentor, and develop the Workplace Experience team, including Workplace Experience Enablers.
Set clear performance criteria and conduct regular staff performance reviews in line with Individual Performance Management.
Foster a culture of continuous improvement, agility, and customer-centric service delivery.
Service Delivery & Operations
Oversee day-to-day workplace service delivery, ensuring compliance with Standard Operating Procedures (SOPs) and Service Level Agreements (SLAs).
Ensure all workplace resets, Clean Desk policy, and Lost Property processes are enacted and reported accurately.
Conduct proactive checks and reviews, including after-hours inspections, to maintain a refreshed and clean workplace environment.
Implement and monitor service tasks, procedures, and policies, measuring performance against KPIs.
Vendor & Supplier Management
Coordinate, manage, and oversee vendors to ensure contractual obligations and service deliverables are met.
Review and spot-check supplier performance, addressing any gaps or issues promptly.
Maintain up-to-date information on Client’s Property Services SharePoint.
Risk & Incident Management
Prepare and review risk assessments for workplace operations.
Lead responses to critical out-of-hours issues and emergency situations as a key team member.
Report building incidents through established escalation channels, providing measures and solutions.
Raise risks to the Workplace Experience Site Lead for further investigation when necessary.
Continuous Improvement & Cost Management
Drive a cost-saving mindset, seeking opportunities to add value at every level of service.
Implement continuous improvement initiatives to enhance workplace experience and operational efficiency.
Conduct data analysis and prepare reports as required.
Stakeholder Engagement
Resolve user complaints and concerns with effective solutions and timely follow-up.
Work collaboratively with all related parties to ensure timely delivery of services.
Share relevant reports and updates with Lines of Business (LOBs) and other stakeholders.
Ideal Experience & Qualifications
Minimum 5 years of experience in facility management, hospitality, or related industry.
Bachelor’s degree in hotel/hospitality management, facilities management, building, business, or related field preferred.
Proven experience in team leadership.
Excellent verbal and written communication skills.
