About the Role:

Monitor and assist in tenant bus operations to ensure seamless functionality.Manage and monitor the performance of service providers to ensure service quality meets standards.Ensure all work complies with company and client policies, standards, and health and safety requirements.Maintain effective communication with tenants, addressing inquiries, complaints, or suggestions to enhance tenant satisfaction.Prepare operational reports, document service provider performance and incident logs, and provide data-driven improvement recommendations.Support adjustments or expansions of tenant shuttle routes to ensure smooth operation of shuttle services.Oversee hygiene and safety measures within buses.Handle unexpected situations or emergencies, ensuring prompt response and resolution.Blast out e-notices to tenants, including emergency announcements, maintenance schedules, or event information.Handle and perform ad hoc duties as assigned.

Risk Management

Assist in the implementation and management of a property risk management program which identifies major property risks including occupational health and safety, fire safety and essential services and environmental.Assist in the implementation and monitoring of guidelines and strategies to protect health and safety of staff and others, protect the client and JLL reputation.Support the implementation and monitoring of disaster recovery and business continuity plansFollow established escalation procedures and incident reporting procedures 

Procurement and Vendor Management

Assist in the evaluating the vendor procurement and management practices of your designated site and ensure renegotiation and tendering, including tender documentation; evaluation of tenders and preparation of contracts is in accordance with agreed client procurement guidelines.Co-ordinate and monitor the contractor management program ensuring all vendors comply with all aspects of their agreementEnsure the Contract Management Database is up to date at all timesAssist to manage the vendor Risk Management program

Profitability/ Savings Initiatives

Assist the JLL Account Leadership team with generating savings and creating initiatives to improve processes and practices

Customer Service / Client Relationships

Provide superior customer serviceEnsure feedback from client sessions is recorded and actioned to the satisfaction of the end user.Pro-actively manage client’s expectations ensuring that the service levels are maintained .Lead by example

Reporting

Assist in the budgeting process as requiredProvide input as required into the Monthly Report to clientActive involvement in the monitoring and achieving the required Key Performance Indicators

Leadership / Staff Management

Actively support an environment that supports teamwork, co-operation & performance excellence within the team

Diploma or Degree in Facilities Management, Property Management, or related disciplines.1-2 years of relevant experience in Facilities Management or Property Management preferred; fresh graduates are welcome to apply. (Candidates with more experience may be considered for Facilities Officer)Experience in data analysis is an advantage, with the ability to leverage data for operational improvement recommendations.Ability to effectively interface with clients, landlords, consultants, contractors, and suppliers.Proficiency in written and spoken English, with strong presentation and communication skills.Good PC literacy and able to manage daily activities using various systems
