Job Title: Assistant Facilities Manager – Technical

Division/Function: Facilities Management | Engineering Services

Position Overview

The Assistant Facilities Manager – Technical will support the management and maintenance of critical building systems, equipment, and infrastructure within assigned facilities. This role requires hands-on technical expertise in electrical and mechanical systems, preventive maintenance planning, vendor coordination, and compliance management to ensure optimal facility operations and minimize downtime of mission-critical assets.

Key Responsibilities

Technical Operations & Maintenance

Oversee maintenance activities for electrical equipment including HT transformers (4000 KVA capacity), DG sets (2000 KVA capacity), UPS systems (250KVA, 400KVA, 600KVA capacities), elevators, circuit breakers, and kitchen equipment. Manage HVAC systems including air-cooled and water-cooled chillers, cooling towers, Air Handling Units (AHU), Packaged Air Conditioning (PAC) units, Variable Refrigerant Flow (VRF) systems, Computer Room Air Conditioning (CRAC) units, and split AC units, covering both high-side and low-side operations. Maintain Sewage Treatment Plants (50KLD capacity), pumps, and related utility infrastructure. Monitor and maintain optimal temperature and air quality in critical environments including laboratories, data centers, server rooms, workstations, and electrical/mechanical equipment rooms.

Preventive & Predictive Maintenance

Implement pre-emptive maintenance programs to minimize risk of sudden equipment failures in critical systems. Track and schedule Planned Preventive Maintenance (PPM) activities across all installations. Coordinate Original Equipment Manufacturer (OEM) training and in-house technical training for maintenance teams. Maintain comprehensive checklists, logbooks, and PPM schedules for all maintenance activities.

Project & Vendor Management

Provide regular project updates to stakeholders and management. Coordinate vendor activities and track Annual Maintenance Contract (AMC) performance and compliance. Manage OpsAide/CMO trackers and ensure timely service delivery. Conduct vendor performance reviews and maintain service quality standards.

Compliance & Risk Management

Generate and track engineering and safety compliance reports to meet regulatory requirements. Perform risk assessments for critical systems and maintenance activities. Maintain Fire Fighting Systems including jockey pumps, booster pumps, sprinkler systems, hydrant systems, diesel engines, and Life Safety Systems (LSS) components. Ensure all maintenance activities comply with safety standards and organizational policies.

Reporting & Documentation

Prepare daily, weekly, monthly, and quarterly operational reports. Generate Monthly Management Reports (MMR) and Quarterly Business Reviews (QBR) for client presentation. Maintain accurate documentation of all maintenance activities, incidents, and equipment performance data. Track key performance indicators related to facility operations and equipment uptime.

Strategic Planning & Advisory

Plan and execute annual facility shutdown activities including preparation, scheduling, and coordination with stakeholders. Prepare critical spare parts lists for all installations based on manufacturer recommendations and operational requirements. Manage spare parts inventory for in-house maintenance teams. Provide recommendations on equipment lifespan, replacement schedules, and proactive component replacement to mitigate potential risks. Advise on equipment upgrades and system improvements based on condition assessments.

Required Qualifications

Education: Bachelor's degree in Electrical Engineering, Mechanical Engineering, or related technical discipline.

Experience: Minimum 3-5 years of experience in facilities management with demonstrated expertise in electrical equipment maintenance, HVAC systems, and critical infrastructure operations. Proven experience managing high-capacity equipment including HT transformers, DG sets, UPS systems, and chillers. Track record of implementing preventive maintenance programs and managing vendor relationships.

Technical Skills: Strong knowledge of electrical systems, HVAC equipment, fire safety systems, and building automation. Proficiency in maintenance management software (OpsAide, CMO trackers, or similar platforms). Ability to read and interpret technical drawings, schematics, and equipment manuals. Understanding of regulatory compliance requirements for commercial facilities.

Competencies: Excellent project coordination and vendor management capabilities. Strong analytical skills with attention to detail in documentation and reporting. Ability to work under pressure and manage multiple priorities effectively. Good communication skills for interacting with clients, vendors, and internal stakeholders. Proactive problem-solving approach with focus on continuous improvement.

Working Conditions

This role requires working in facility environments including mechanical and electrical rooms, rooftops, and operational areas with active equipment. Occasional after-hours or weekend work may be required for scheduled maintenance activities and annual shutdowns.
