Assistant Facilities Manager - Technical

Builds and Manages High Performing Teams

Position Goals

• Monitor and maintain all M&E related equipment’s including Electrical systems, UPS, Invertors, HVAC, Precision A/C, Fire Fighting, Plumbing, Carpentry etc.

• To provide administrative support to the Facilities Management team

• To ensure timely and accurate completion of FM reports.

• Handle day to day operations of facilities.

• Ensure strict adherence to client SLA’s.

• Ensure strict implementation of EHS Guidelines.

 

Duties & Responsibilities

• Establish Engineering & Operational procedures and roll out the same for site staff;

• Ensure adherence of Work permit system as per Client guidelines

• Responsible for all legal & statutory related compliances, pertaining to Facility & Engineering operations.

• Carry out Technical Audits for all installations at periodical intervals.

• Manage projects to ensure the quality and deliverables with in the stipulated time.

• Review the maintenance/service practices of M&E Contractors to deliver quality work practices in line with the manufacturer recommendations.

• Plan & take responsibility for smooth operations of all Mechanical, Electrical, Plumbing installations and civil works pertaining to the facility.

• Responsible for planning critical spares for all installations as per manufacturer’s recommendations and inventory.

• Responsible for development of all maintenance related schedules and plan shutdown activities in consultation with Chief Engineer

• Periodically inspect the logbooks, checklists and PPM schedules for a better management of Engineering systems;

• Work towards ‘ZERO’ down time and set up the practices to ensure the delivery of seamless service to Clients.

• Responsible for ensuring landlord’s compliance on availability of all statutory obligations.

• Responsible for setting up the maintenance contracts to ensure the risk mitigation to the Client operations;

• Assume the responsibilities of FM, as and when required.

• Implement the Energy management programs to reduce the cost on utilities.

• Responsible for weekly & monthly reports on M & E, covering the maintenance contracts, spare parts consumption, Incident reports, etc;

• Responsible for Energy management, saving opportunities, risk management & engineering systems audits.

• Coordinate with Service partners for any handyman work including, but not limited to Carpentry Painting drywall and plaster.

• Repair, miscellaneous electrical work, minor plumbing repairs, Door repairs/replacements etc.

• Conducts daily internal walk-through to ensure all M&E equipments are in good order.

• Maintaining daily team communication / relationship while on the job, including dealing with Shell expectations.

• Implementation of LOTO procedures and various other safety procedures required for safe operations.

• Be accessible for escalation of all FM related issues

• Ensure FM tickets were closed with in SLA’s (Critical, High, medium & low) Pay attention to critical calls and 100% on time closure with out breach.

• Muster all the M&E staff of the shift before deployment and communicate the priorities of the day.

• Communicate to the Campus Manager all incidents issues and pending problems

• Participate in Emergency Evacuation procedures including crisis Management and business continuity.

• Manage all Healthy & safety issues and actively participate in Health and Safety reviews.

• Ensure compliance with statutory regulations on Fire, Health and Safety standards.

 

Vendor Management

•           Managing and Monitoring Vendor services and ensure adherence to SLA’s

•           Conduct vendor meetings on a regular basis and review performance.

 

Key Performance Measures   

•           Follow the EHS guidelines and work permit system.

•           Implement standard operating procedures at work

•           Maintain high standards of M&E operations

•           Generate and submit reports on time

•           Adherence of PPM calendars.

•           Escalate all risk on immediate note and record through mail

Teamwork should also be one of your strongest points, as you’ll work with a team to ensure that all performance targets set out in the contract are being met. To do this, you’ll develop tools that help measure the technical team’s performance on a quarterly or annual basis.

A technical hands on expert

An ideal candidate would have a university degree or professional qualification in engineering or facilities management, and over four years’ experience in facilities operation. A strong background in troubleshooting processes is a big plus.

 

Good communicator

Education and experience

Bachelor’s Degree  in Mechanical/Electrical engineering with a minimum of 5 years experience as Assistant facility Manager or senior facility executive

Implementation knowledge on ISO 14001, OHSAS 18001 would be an added advantage

Understanding of  vendor management

Good understanding of safety
