Key ResponsibilitiesClient Management & CommunicationServe as the primary point of contact for client interactions and build strong client relationshipsManage contracts, service-level agreements (SLAs), and address client concerns promptlyDesign professional presentations (MBR, site induction, initiatives) and create clear communications for advisories and facility guidelinesFacility Operations & MaintenanceConduct regular floor inspections and submit reports within governance timelinesCoordinate minor project works, track progress, and liaise with consultants and suppliersManage asset inventory and health checkups, ensuring timely completion of Planned Preventive MaintenanceOversee repair and maintenance activities, coordinating with AMC vendors for timely deliveryAccess & Security ManagementCoordinate with the building team for visitor entries and promptly resolve related issuesEnsure smooth visitor check-in processes and maintain security proceduresManage inward and outward material movement, including gate passesResource & Inventory ManagementMonitor and maintain records for housekeeping, pantry, and stationery suppliesEnsure availability of first aid kits and manage lost-and-found recordsCreate Purchase Orders in the TEP Oracle System and verify/upload invoices.Compliance & SafetyEnsure adherence to labor compliance, site procedures, building compliance, and landlord regulationsUpload all required documents in ESG, iAuditor, ORSS, Intelex, and incident reporting systems on timeCoordinate fire safety/fire drill training with the builder per local Fire NOC authority normsSupport audits and certificate renewals as requiredEmployee Experience & EventsConduct office tours for new joiners to ensure smooth onboardingAssist employees with workspace and resource-related requestsPlan and execute internal events, collaborating with internal teams and external vendorsFront Desk & Help Desk ManagementManage reception area, ensuring cleanliness and orderliness of common spacesProactively manage Help Desk/Service Now services to achieve or exceed KPIsReport Help Desk outputs to stakeholders and address operational challengesQualificationsBachelor's degree in Facility Management, Business Administration, or related field8+ years of experience in facility management or related roleStrong communication and interpersonal skillsProficiency in Microsoft Office suite and facility management softwareKnowledge of health and safety regulationsExcellent organizational and problem-solving abilitiesSkillsClient relationship managementVendor management and negotiationBudget planning and controlTeam leadership and coordinationCrisis management and resolutionTechnical understanding of building systemsMultitasking and prioritization

This position requires a detail-oriented professional who can manage multiple priorities simultaneously while maintaining excellent client relationships and ensuring compliance with all relevant standards and procedures.
