What This Job Involves

Leadership & Staff Management

Ensure new staff are properly inducted and productive from day one

Manage initiatives based on staff surveys and feedback

Client / Stakeholder Management

Proactively engage stakeholders to meet and exceed client expectations

Build and develop effective client relationships across multiple organizational levels

Demonstrate responsiveness to client needs and be forward thinking rather than reactive

Serve as the key point of contact for the interface between operations, project and the other functional team related matters

Procurement & Vendor Management

Ensure vendors are well-managed, delivering services on time, remain compliant to full work order completion, deliver reports, provide accurate Job Plans and check lists, have HSE (incl. JHA( completed for all works and deliver within budget

Negotiate savings and cost mitigation

Ensure vendor procurement processes comply with client guidelines and JLL best practice

Contracts Management

Plan and manage supplier contracts professionally and at market-competitive costs

Monitor contract expiry and initiate re-procurement when needed

Continuously assess supplier contracts to deliver best value to the client

Complete and gain client approval of CRs (Change Requests) related to budget changes

Finance Management

Ensure the site's financial operations meet or exceed targets and comply with JLL Code of Ethics

Ensure financial processes are always followed

Manage Guaranteed Maximum Price (GMP) forecasts and ensure actual spending is within targets as appropriate

Ensure prompt and accurate management of Purchase Orders (POs) in JLL's financial system (JDE)

Provide accruals to finance team on a timely basis supported with detailed commentary

Ensure Work in Progress (WIP) is tracked and reported out accurately

Health & Safety Management

Ensure a safe working environment for JLL team, suppliers, visitors, and customers

Ensure compliance with JLL and statutory regulations on fire, health, and safety standards

Complete CMO (incident management system) submissions by deadlines

Reporting & Administration

Prepare presentations for monthly and quarterly Business Reviews (QBRs/MRMs) amongst other reports and presentations that may be required.

Manage training requirements to achieve 100% completion rates

Prepare EHS statistics reports and HSE Lesson Learnt presentations where required

Share customer feedback and input into relevant trackers (compliments, complaints)

Complete client administration tasks timely, including troubleshooting and event support

Site Operations Management

Recommend continuous quality improvement practices and implement Industry Best Practice operations

Implement building procedures and performance measures and maintain them at all times

Ensure all Critical Environment (CEM) requirements are met

Review operations regularly to reduce inefficiency, control costs and improve operational standards

Provide 24/7 emergency call support and site attendance as required (including but not limited to event support, audit deliver / support, site inspections

Risk Management

Implement and maintain a property risk management program including audits

Ensure disaster recovery and business continuity plans are in place and maintained

Ensure escalation procedures and incident reporting procedures are implemented

Assist in developing guidelines and strategies to ensure compliance with JLL's business conduct

KPIs

Complete all monthly and quarterly KPI tasks accurately within deadlines

Maintain KPI score free of penalties

Manage the completion of actions arising from KPI or SLA reviews

Ad Hoc Projects

Understand client needs, develop solutions, obtain supplier quotations, provide market-competitive JLL quotes, gain client approval and sign-off, deliver excellence

Drive growth in ad hoc projects, PDS, ESS, TSSO and other consulting engagements

Qualifications

Bachelor's degree (or higher) or equivalent work experience in Facilities Management (FM) and Real Estate (RE) and having project exposure.

Minimum 2 years of Facility Management or related IFM experience (ideally in campus or factory management)

Experience in manufacturing facilities; semiconductor or high-tech industry background is preferred

Strong English for daily communication and stakeholder engagement

High proficiency with Microsoft Office
