What this job involves:
As an Assistant Facilities Manager, you will play a key role in supporting comprehensive facilities operations and strategic project management across all aspects of site performance. You will assist in directing end-to-end coordination for major corporate initiatives, ensuring seamless transitions with zero operational downtime while supporting the management of project lifecycles including budgets, vendor procurement, IT infrastructure integration, and cross-functional stakeholder communication. This role requires you to support the supervision of diverse service delivery teams, maintain compliance with workplace safety regulations, and assist in serving as a point of contact for building management and senior leadership. You will support workplace strategies, optimize space utilization, and contribute to sustainability initiatives while helping to cultivate strategic partnerships with key service providers to ensure operational excellence across all facility workstreams.
What your day-to-day will look like:
Support end-to-end coordination for major corporate relocations and expansions, assisting in the management of comprehensive project lifecycles and collaborating with capital project teams on development and launch of new floor platesAssist in supervising diverse service delivery teams including reception, janitorial, and maintenance personnel, supporting daily operational efficiency and upholding high service standards with compliance to workplace safety regulationsPartner with Occupancy Planning teams to support complex Move, Add, and Change (MAC) logistics, space allocation, and vendor engagement, while assisting in managing post-occupancy programs to stabilize operations following major movesSupport the development and implementation of standardized facilities policies and operational protocols, ensuring alignment with global corporate standards and local regulatory requirementsAssist in serving as a point of contact for building management, supporting monthly joint inspections of common areas and coordination meetings to resolve shared-space issuesSupport strategic partnerships with key service providers, assisting in contract negotiations and performance reviews to ensure high-quality delivery across cleaning, security, and M&E workstreamsAssist in preparing operational performance metrics and project status reports for senior leadership, supporting data-driven decision-makingSupport asset and infrastructure management including employee locker systems, utilizing Facility Management Systems (FMS) for space tracking and asset audits, while assisting in managing Permit to Work (PTW) processes and service requests via Corrigo and SIM-T platforms.Required Qualifications:
Experience supporting coordination for corporate relocations and facility projectsDemonstrated ability to assist in supervising service delivery teams and maintaining compliance with workplace safety regulationsExperience with Move, Add, and Change (MAC) coordination and post-occupancy optimization programsBackground in supporting policy development and implementation aligned with corporate standardsExperience supporting building management liaison activities and stakeholder coordinationProven track record in supporting vendor and contract management activitiesAbility to assist in preparing operational performance metrics and reportsExperience with Facility Management Systems (FMS), Corrigo, and SIM-T platforms.Preferred Qualifications:
Experience supporting workplace strategy transitions and space utilization optimizationDemonstrated success in contributing to sustainability initiatives within facility operationsExperience supporting capital project teams on development and launch of new floor platesBackground in IT infrastructure integration and cross-functional stakeholder communicationExperience coordinating preventive maintenance schedules for Mechanical & Electrical (M&E) systemsProven ability to support rapid-response frameworks for facility requestsExperience supporting budget management and vendor procurement processesStrong administrative governance skills including Permit to Work (PTW) process supportAbility to execute additional duties and special assignments as required by leadership.Location: Onsite
