<ポジション概要>ファシリティマネージャー補佐として、イベント、MAC(オフィスの移転・増設・変更)・小規模プロジェクト、清掃業務、財務・報告サポート、業者管理を含む全てのソフトサービスの管理を担当します。<主要業務と責任>施設運営管理イベント、MAC(オフィス移転Move・増設Add・変更Change)、小規模プロジェクト、清掃業務を含む全てのソフトサービスの管理KPIの要件を満たすための作業指示書の管理円滑な運営のための主要ユーザーとの関係構築情報をまとめ、クライアントが必要とするレポート・連絡書類・資料を作成する。業界ベストプラクティス運営の実施をサポート建物の手順・性能基準が常に維持されるよう、現地調査・評価を実施する。情報をまとめ、お客様が必要とするレポート・連絡書類・資料を作成する。サービス向上のため、常にチームの目標・改善課題を設定財務管理全ての財務管理要件が適時かつ正確に完了されるよう財務プロセスをサポート予算・発注書・請求書の迅速で正確な管理をサポート売掛金を60日以内の支払い可能額に維持することで組織のリスクを軽減サービスのクロスセル機会を探し、お客様の運営コストを削減人材管理 チームワーク、協力、業績優秀、個人成功をサポートする環境を積極的に促進する。業績向上のための適時指導を提供業者管理サイトの全業者が必要基準を満たすよう管理をサポート(業者作業の確認を含む)必要に応じて業者・サービスの調達をサポート

<Overall Role >

As Assistant Facilities Manager, will be responsible for managing all of soft services including Event, MAC and minor project, cleaning operations, Finance and support reporting and vendor management.

<Key Tasks & Responsibilities>

Site Operations Management

Managing all of soft services including Event, MAC, Minor Project and cleaning operation

Managing Work order to meet KPI’s requirement

Establish the relationship with key users for smooth operation

Consolidate information & generate reports, communications & documents as required by client.

Assist in the implementation of Industry Best Practice operations

Conduct site inspections and assessments to ensure all building procedures and performance measures are always maintained.

Consolidate information & generate reports, communications & documents as required by client.

Always setup the target / challenge for the team to improve our services

Finance Management

Assist in financial processes to ensure that all financial management requirements are completed in a timely and accurate manner

Support prompt and accurate management of Budget/Purchase orders/Invoices

Mitigates risk for the organization by ensuring A/R is maintained below 60 days payable

Look for opportunities to cross-sell services and to reduce cost to our customers operation

People Management

Actively encourage an environment that supports teamwork, co-operation, performance excellence and personal success.

Provides point in time coaching to elevate performance

Vendor Management

Assist in the management of all contractors on site to ensure they perform to the required standards (including inspection of vendors’ works)

Assist in the procurement of vendors and services as required

<Knowledge And Skills Required>

Experience of Excel, Word and PowerPoint

Business level of English and Japanese

At least 3 years or more experience on Soft services or Event arrangement and team management
