Assistant Facilities Manager

Position Overview

We are seeking an experienced Assistant Facilities Manager to join our dedicated team servicing a major corporate client account. This role requires a customer-focused professional who will work on-site at the client’s London offices to deliver exceptional facilities management services while maintaining the highest standards of operational excellence and client satisfaction.

Key Responsibilities

Client Account Management

Serve as primary on-site support for assigned corporate client facilitiesBuild and maintain strong relationships with client stakeholders and end-usersParticipate in regular client meetings and service reviewsEnsure all services align with client's corporate standards and brand requirementsProactively identify opportunities to enhance service delivery and client satisfactionSupport contract compliance and SLA performance metrics

Facilities Operations

Oversee daily operations of corporate office spaces, including multi-floor facilitiesCoordinate and supervise preventive maintenance programs across all building systemsManage vendor relationships and ensure service delivery meets client expectationsOversee corporate moves, adds, and changes (MAC) projectsEnsure facilities support corporate culture and employee experience goals

Service Delivery Excellence

Respond promptly to employee service requests and work ordersCoordinate with help desk operations and field service teamsManage emergency response procedures and business continuity planningSupport corporate events, meetings, and special functionsEnsure consistent service delivery across multiple locationsImplement client-specific policies and procedures

Strategic Support

Assist with annual facilities planning and budgeting processesSupport capital project planning and executionContribute to sustainability initiatives and corporate ESG goalsParticipate in client strategic planning sessionsSupport workplace transformation and change management initiatives

Compliance & Risk Management

Ensure compliance with corporate policies, building codes, and regulatory requirementsMaintain detailed documentation for audit and reporting purposesSupport health and safety programs specific to corporate environmentsManage insurance claims and risk mitigation activitiesCoordinate security operations and access control systems

Required Qualifications

3-5 years of experience in corporate facilities management or client servicesProven track record in corporate real estate or integrated facilities managementStrong understanding of corporate workplace environments and employee needsExperience managing vendor relationships and service level agreementsExcellent client relationship management and communication skillsProficiency in IWMS/CAFM platforms

Technical & Professional Skills

Advanced proficiency in Microsoft Office Suite and project management toolsUnderstanding of corporate workplace trends (hybrid work, activity-based working)Strong analytical skills with ability to interpret performance metricsKnowledge of corporate procurement processes and vendor managementExcellent presentation and report writing capabilities
