Assistant Facilities Manager

Key activities required to assist with include:

Client/Stakeholder SupportProvide superior customer service to meet on-site client’s expectationsBuild and develop effective relationships with key stakeholders &/or company and be comfortable working across all levels - Monitor procedures to ensure client’s expectations are conveyed and worked uponProcurement & Vendor SupportManage multiple vendors including hard and soft skills to deliver services on time and within budgetAssist in the management of all contractors on site to ensure they perform to the required standards (including inspection of vendors’ works)Assist in the procurement of vendors and services as requiredContracts ManagementEnsure that all contracts are professionally delivered at the right cost and in line with the client’s policiesMonitor expiry of contracts and initiate re-procurement if neededContinually assess contracts to ensure best value delivered to the clientFinance SupportAssist in financial processes to ensure that all financial management requirements are completed in a timely and accurate mannerEnsure that the site’s financial operations are meeting targets and control requirementsHealth & SafetyImplement and manage safety procedures to ensure the provision of a safe working environmentConduct regular audits to ensure safety procedures are being complied withAssist in carrying out safety procedures when neededEnsure compliance with statutory regulations on fire, health and safety standardsSite OperationsImplement Industry Best Practice operationsAssist and monitor to ensure all building procedures and performance measures are always maintainedEnsure all Critical Environment (CEM) requirements are metSeek ways to reduce costs and improve operational standards24/7 emergency call support and site attendance are requiredSecurity Management.Direct and manage security program including overseeing(access control, CCTV, alarm)Manage and review access lists to prevent unauthorized entryConduct periodic audits of access permissions and unauthorized access attempsImplement badge insurance protocols door new employees and executing established protocols for temporary credential management during forgotten badge situationsManage office facility keys and conduct regular checks of facility locking statusEmergency respond and communicate with stakeholdersManage and supervise badge credential controlOther tasks and responsibilities related to sercurityManaging all incoming & outgoing deliveries.Recording delivery information on incoming & outgoing deliveries distributing deliveriesPrepare and support company event.Involve planning, organizing, and executing events, ensuring client runs smoothly and achieves their objectivesPreform the weekly consumables orderIncluding Food and BeverageReceipt all consumables delivered and store as required.Forward receipts to FM team for records.Ensure adequate consumables available for clientsGeneral Site CleanlinessPerform inspections on the cleaning onsiteOrganize any special clean requirementsEscorting Clients/Contractors; site attendance required on weekends, if necessaryRisk ManagementAssist in the implementation and management of a property risk management programParticipate in the disaster recovery and business continuity plans as requiredFollow established escalation procedures and incident reporting proceduresAdhere to client’s business conduct by ensuring compliance with the firm’s guidelines,  procedures and strategiesOther tasks consistent with the role and relevant of

Ideal Experience

You should be a graduate in any discipline and have two to three years’ experience in facilities management or the hospitality industry. Proven experience with continuous improvement initiatives and client reporting is also vital for this role. If you’re familiar with occupational safety requirements matched with strong computer literacy and the ability to manage activities using different systems, then you might be the best fit for this job.
