Assistant Facilities Manager

Account Management, Korea

SUMMARY

The Assistant Facilities Manager will assist the Facility Manager with operational activities in accounting and finance, maintenance and operations, vendor oversight, purchasing of material, equipment & supplies. The Assistant Facilities Manager is also required to provide hospitality support to business and administrative support to the team.

ROLE AND RESPONSIBILITIES

Client/Stakeholder Management

Provide superior customer service to meet client’s expectationsAble to manage oversea client directly for daily operations

Procurement & Vendor Management

Assist in the management of all contractors on site to ensure they perform to the required standards (including inspection of vendors’ works)Assist in the procurement of vendors and services as required

Finance Management

Assist in financial processes to ensure that all financial management requirements are completed in a timely and accurate mannerManage the budget, ensure the report submitted to the client or the financial director timely and accurately. Guide the team to pay for suppliers, and ensure that all aspects of the work are carried out according to the specified financial scheduleSubmit the billing to stakeholder in time to ensure that all works are in accordance with the contract and receive the payment from clientSubmit other relevant financial reports on a regular basis, such as the difference analysis between the monthly budget and the actual cost, the budget forecast in the next financial period, etc

Health & Safety Management

Conduct regular audits to ensure safety procedures on site are in place and workingAssist in carrying out safety procedures when needed

Site Operations Management

Assist in the implementation of Industry Best Practice operationsConduct site inspections and assessments to ensure all building procedures and performance measures are maintained at all timesSeek ways to constantly reduce costs and improve operational standardsMaintain premises in neat and good working condition at all timeCoordinate with pantry assistant to ensure that pantry, stationary and janitorial items are always in stock

Risk Management

Assist in the implementation and management of property risk management programSupport the implementation and monitoring of disaster recovering and business continuity plansFollow established escalation procedures and incident reporting proceduresAdhere to JLL’s code of conduct by ensuring compliance with the firm’s guidelines,  procedures and strategies

Job Requirements

3 to 5 years of experience in FM fieldStrong People Management skillsFluent Writing & Speaking skill in EnglishTrack record of strong Finance Management experienceWorking experience in the hospitality industry is preferred (not mandatory)
