The responsibilities will be all of office services including financial control, work order handling, badge/key administration, office supply & café item management, energy tracking, fleet management and the support for Account Manager.
Client/Stakeholder Engagement
Deliver excellent office services to meet client’s expectations.Build and develop effective relationships with key stakeholders and be comfortable working across all levels.Respond efficiently to escalations, providing timelines and timely feedback throughout the solutioning.Support a regular series of stakeholder/governance meetings to quickly address needs and concerns for Account manager.Procurement & Vendor Management
Office supply and drink item management and purchasingBuild the good relationship with LL, BM and related vendors.Undertake, with local/regional team, the Supplier Performance Reviews, retendering in a timely manner if continued poor performance cannot be resolved.Contracts Management
Ensure that all contracts are professionally delivered at the right cost and in line with the Code of Ethics.Monitor expiry of contracts and initiate re-procurement is needed.Continually assess contracts to ensure best value delivered to the client.Finance Management
Ensure that the site’s financial operations are meeting targets and where not, escalate for support.Assist and monitor financial processes to ensure account payable procedures are followed at all times.Align operational reporting with finance timelines to ensure timeliness of process.Office service Management
Office inspection – inventory check and fault detectionHandling work ordersBuilding badge / key administrationEnergy (utility) data trackingAccount Manager Support
Provide Account Manager with the support of Account management and Client relationship management including the communication with regional team.Create the presentation materials for the operational review and reporting.Monitor to ensure all manuals, procedures and performance measures are maintained at all times.Ensure all SOW(SLA) and Client requirements (BCP etc) are met.Maintain updated, the account Playbook relevant to sites/countries under your responsibility.Candidate specification
5 years experience on FM service or related fieldProven capacity to understand and interpret commercial contracts.Excellent communication and presentation skillsMind-set of diversity and inclusionNative level in Japanese and basic EnglishKnowledge and skill for Microsoft applications (Excel, PowerPoint, Word, Outlook)Self-motivated; confident & energeticStrongly goal-oriented – focuses on meeting all performance targets.Team player – cooperates and works well with others to meet targets.Employment Type: Contract Employee

Smoking Policy: No smoking on premises (designated smoking areas available)
Working Hours: 9:00 AM to 6:00 PM (hours may vary when working at client sites)
Flexible Work Hours: Core hours apply
Remote Work: On-site attendance required
Holidays: Two days off per week (Follows Japanese calendar)
Base Annual Salary: ¥4,000,000 - ¥5,500,000
(The above is an estimate only; the final amount will be determined after the interview based on skills and communication abilities)
Overtime Pay: Included. Fixed overtime pay (equivalent to 30 hours per month) is included in the base annual salary.
