Reporting to the Processing Archivist, the Archives Technician will accession, arrange, and describe archival and manuscript collections, assist with the digitization of Distinctive Collections materials, participate in and implement collection surveys, and create inventory records and finding aids using archives content management software (ex. Access to Memory/AtoM).
Essential Duties and Responsibilities
Accession, Arrange, and Describe Archival and Manuscript Collections:
Processes new and existing collections following guidelines as delineated by the Processing Archivist and current best practices and procedures.This work entails accessioning, arranging, and describing collections, writing brief descriptions of collections, providing bibliographic data, assigning Library of Congress subject headings to archival materials (or utilizing other controlled vocabularies as needed), and integrating new and existing finding aids into the AtoM database. Helps maintain administrative collection files and records.
Supervision of Student Assistants:
Hires, trains, and manages on-campus student employees as needed and in accordance with the department budget. This responsibility requires use of the University’s job management software to hire student employees and to approve their hours worked on a bi-weekly basis.
Assist in the Development of Physical and Virtual Exhibitions:
+ Contributes textual and visual content to analog and digital projects (including departmental web pages) in collaboration with other library divisions.
+ Creates metadata for materials to be scanned according to specified protocols and schema.
+ Assists in the design and layout of exhibits, both physical and virtual.
Other duties and responsibilities as Assigned:
+ Participates in committees and teams within and outside the library, particularly those related to archival processing and preservation, and digital projects.
+ Maintains helpful and supportive customer service behavior with all library patrons, using good communication skills to relay progress of projects.
+ Purchases supplies.
+ Assists with stacks management across the Libraries’ various storage facilities.

+ In pursuit of the Libraries’ and University’s strategic objectives, model the University’s “DIRECCT” values (diversity, integrity, responsibility, excellence, compassion, creativity, and teamwork) and actively works to promote them.
+ Maintains helpful and supportive customer service behavior with all library customers, both internal and external.
+ Establishes effective and supportive interdepartmental relationships and participates in cross training opportunities to increase library and unit effectiveness and to effectively disseminate information.
+ Communicates frequently and effectively with all University staff, faculty, and administrators in a timely manner regarding procedures, policies, and other necessary information.
+ When possible, participates in committees and teams within and outside the Libraries to provide services to the Libraries, University, and the Community.
Working Relationships
Supervision received:
The Assistant Archivist reports to the Processing Archivist for Manuscripts and Archives Management.
Supervision given:
The individual supervises student assistants.
Levels of contact:
Within the library, this individual works with all levels of library faculty, staff, and students. The individual will also work with researchers who are not affiliated with the university.
Minimum Qualifications
Required:
+ High school graduate.
+ Minimum of 3 years of relevant work experience OR 3 years of college OR a combination of both. Any relevant education, certifications and/or work experience may be considered.
+ Experience in an academic or research library.
+ Knowledge and experience with archival and records management practices and procedures including archival description.
+ Effective communication skills and the ability to interact professionally with faculty and staff.
+ Ability to work efficiently and cheerfully in a busy, multi-tasking, and rapidly changing knowledge-providing environment. Must be able to handle multiple tasks and shifting priorities as driven by operational, developmental, and managerial needs.
+ Commitment to user-centered library services.
+ Must be able to work with fragile materials that may produce moderate dust environment, lift 40 pounds, push 50+ pounds, and reach while on a stool.
Preferred:
+ Experience with Distinctive Collections materials – Knowledge of and experience with archival and records management practices and procedures including archival description and rare book terminology.
+ Understanding of the academic research environment and scholarly research needs.
+ Proven experience in web site development and maintenance.
+ Reading/speaking knowledge of one or more Romance languages.
+ Experience with scanning rare materials and creating databases and/or other web-based products to promote special collections and archives.
