BMS is a major contributor to biomedical education including undergraduate, graduate, veterinary medicine, post-doctoral training, translational biomedical research, and soon to include human medicine at CSU . BMS has over 40 faculty with research, teaching, service and outreach specialties in anatomy, physiology, neurobiology, reproductive biology, endocrinology, pharmacology and pathology in humans and animals. The total number of employees is over 200 and the department manages approximately $20M in annual expenditures across two campuses – Main Campus and Foothills Campus. BMS is closely aligned with two Programs in Research and Scholarly Excellence ( PRSE ) – the Animal Reproduction and Biotechnology Laboratory ( ARBL ) and the Molecular, Cellular and Integrative Neurosciences ( MCIN ) program. It is a full-time in person position, Monday – Friday excluding University holidays and pays a wage of $25.00 per hour. A pre-employment Criminal Background Check is required for new hires. The purpose of this position is to provide support to the business operations, faculty, students and staff at the Animal Reproduction and Biotechnology Lab ( ARBL ) within BMS which is located at the CSU Foothills Campus. This position reports to the BMS Manager of Business Operations at ARBL . Primary duties include the following: support the unique administrative processes of the ARBL by directly assisting the ARBL Director and the BMS Manager of Business Operations; assist with coordinating facility projects/repairs/security and equipment maintenance by acting as the ARBL building proctor; contribute to procurement processes and oversee the procurement card transaction reallocation process; contribute to covering the front office and providing excellent customer service to faculty, students, staff and visitors; assist with training and directing the daily work of student employees; supporting ARBL events including seminars, symposiums, guest speakers, and special events. Position Minimum Qualifications + Bachelor’s degree from an institution of higher education. Essential Job Duties Job Duty CategoryBusness Operations Support Duty/Responsibility Contribute to the business operations at the ARBL by working closely with staff, students, faculty, and leadership at the ARBL and within BMS and CVMBS . Contribute to covering the front office reception duties and providing excellent customer service to faculty, students, staff, and visitors; train and direct the daily work of student employees in areas of expertise. Lead the hiring, training, and supervision of students to cover the front office duties including receiving packages, distributing mail, maintaining the copier and other equipment. Provide this support when student employees are not scheduled to work. Serve as the team lead for ARBL procurement card reallocation processes and ensure timely and accurate reallocation of procurement card expenses by reviewing expenses for appropriateness per CSU , state and federal financial policies and procedures. Communicate with cardholders and others to investigate any issues. Process paperwork of procurement cards for new accounts and deleting accounts. Process other financial transactions such as disbursement vouchers, requisitions & purchase orders, reimbursements, service agreements. Determine the appropriate and most efficient procurement processes for other purchases, assist with making purchases, and facilitate contacts with area experts as needed. Assist with other business operations support as determined by ARBL and BMS leadership. Proactively assess, respond to, determine action, and resolve issues within the ARBL building and surrounding grounds and facilities. Communicate status of facility and equipment issues to building occupants, CSU Facilities Management, CSU Environmental Health Services, and external vendors, as needed. Coordinate the repair and replacement of capital assets, identify areas of concern, and assist with equipment moves, office/lab space assignments and storage needs. Respond appropriately to any building security issues and assess requests for building access and issue keys and/or activate key cards. Perform proactive building walk-throughs to identify areas of concern and take appropriate measures to mitigate risks in the physical and environmental setting. Maintain up-to-date phone tree and the Emergency Response Plans for the ARBL Building and surrounding areas. Develop facility and safety trainings for the ARBL administrative and lab staff. Work with campus services to ensure proper event procedures are in place, including facilities and waste management, room reservations and scheduling, and appropriate food or alcohol approvals. Create travel documents in the Kuali system, including pre-approval, reimbursements, and other travel related items. Assess whether expenses are allowable and appropriate according to CSU , state, and federal financial policies and procedures.
