ARB Office Coordinator and Assistant

The Architectural Review Board (ARB) Office Coordinator and Assistant is responsible for the daily tasks within the ARB. This is a FULL TIME position and the shifts will be from 8:30am-5:00pm on Wednesdays and Fridays. Responsibilities Experience & Education: + Degree Preferred + Customer Service Experience + Design/Graphic Experience Reception: + Front Desk and Telephone – answering general ARB emails, calls, and in-person questions + Channel Requests for more information to other staff as required + Sends out welcome letters, site analyses, and other correspondence as necessary + Receiving Fees and Deposits Fee and Deposit Process: + Assists with processing Checks and Refunds – Data entry and record-keeping related to accounting Filing and Tracking: + Receive and check submittals and samples, prepare ARB meeting agendas, and distribute correspondence and meeting times + Permit issues + Borrowed plans + Late passes + Contractor warnings + Trailer locations + Digital record keeping and creating new property files & folders in DocRecord + Compiling improvement reviews and inspection requests into DocRecord for staff + Checks the mail & drop box and processes incoming information + Sends out non-maintenance improvement reviews. + Drafts and sends out Final Inspection Memos, Review Letters, and other correspondence as needed. + Inputs information into property + Coordinates with IT regarding technical issues + Monitor and maintain office supplies Calendar: + Maintain Schedules + Conference Room Use + Attend KIARB and Cassique ARB meetings, takes notes, and drafts meeting letters Additional as Office Coordinator: Communication with Property Owners, Construction Professionals, and Sales Executives Requirement Review: + Submittal requirements + Property Development Criteria + General research and information + Property Master ARB database and case file entry + Assists ARB staff with any reports or research requested Minor Improvement Review Site Inspections: + Maintenance Permit Onsite Inspections and follow-up + Foundation Survey review and follow-up Community Liaison: + KICA Pride of Community Volunteer Group + Check the mail + Monitor and order office supplies and make sure office is in order + Answer the phone when needed + Communication with Property Owners, Construction Professionals, and Sales Executives as needed. + Prepare agendas and send out meeting times in coordination with ARB staff on Fridays + Send out meeting letters on Wednesdays + Send out non-maintenance improvement reviews, site analyses, and welcome letters + Draft and send out final inspection memos + Assist ARB staff members with any requests, reports, or research requested Experience & Education: + Degree Preferred + Customer Service Experience + Design/Graphic Experience In person applications are welcome between the hours of 8:30 a.m. and 5:00 p.m. Monday through Friday at 253 Gardeners Circle Suite Kiawah Island, SC 29455.
