This entry-level / intermediate-level position is responsible for processing and maintaining real estate contracts and related documents within KeyBank's corporate and retail portfolios. The combined portfolio has an annual rental obligation and income of approximately $164 million and $7 million, respectively. The position is accountable for timely processing, meticulously maintaining and accurately reporting all Key facility-related real estate contracts in compliance with company and regulatory policy and guidelines. Upon successful and consistent completion of all primary and secondary job functions, if desired, this position will also be allowed opportunity to assist with and perform lower level and minor transaction management functions in addition to maintaining all job functions of the portfolio analyst position.Essential Functions of the Job:
Timely and accurately processing within the portfolio management database all existing and new real estate contracts and related documents received from other team members within Corporate Real Estate Solution that include, but are not necessarily limited to the following primary functions:Abstracting contractsRecording, processing and maintaining all property contract charges (security deposits, improvement allowances, recurring charges, CPI adjustment calculations and one-time costs)Accurately maintaining critical datesPreparing all contract notification letters (commencement date agreements, option notices and other such communication to effectively administer real estate contracts with landlords and tenants)Processing monthly rent roll payments (to landlords) and receivables (from tenants)Performing desktop audits in pursuit of potential expense savings by reconciling CAM, operating expense, real estate tax and insurance premium settlements received from landlordsAssembling and performing tenant billback invoices for annual building operating expensesCoordinating and processing with KeyBank's legal representatives estoppel letters and Subordination and Non-disturbance Agreements (SNDA) requestsTracking lease expirations and related activities with facility managers for premises surrenderResearching contract information as requested by other departmental employeesSecondary functions include the following: Updating the portfolio management database for all:property cost center updateslandlord and tenant address changesvendor changes (includes coordinating such changes with Key’s Accounts Payable Department)Processing check requestsDetermining and archiving to Key’s off-site storage annually all expired or inactive property, tenant and billing filesAssisting other team members in the completion of their essential job functions and mail processing as necessaryRequired Qualifications
Bachelor’s Degree or equivalent industry experience with demonstrated pursuit of secondary education preferredMinimum 2 years of commercial real estate lease administration, accounting or paralegal experience preferredDemonstrated strong understanding of and ability to interpret commercial real estate terminology.Excellent written and verbal communication skillsExceptional organizational and computer technology skillsDemonstrated ability to prioritize a high-volume workload and follow-through on activities and requestsAbility to work within a fast-paced team environmentKey has implemented a role-based Mobile by Design approach to our employee workspaces, dedicating space to those whose roles require specific workspaces, while providing flexible options for roles which are less dependent on assigned workspaces and can be performed effectively in a mobile environment. Please note that person selected for the position will typically work 3 days a week (or more) from the office location.
COMPENSATION AND BENEFITS
This position is eligible to earn a base salary in the range of $51,000.00 to $72,000.00 annually depending on location and job-related factors such as level of experience. Compensation for this role also includes eligibility for short-term incentive compensation and deferred incentive compensation subject to individual and company performance.
