Job title: Advanced Associate, Administrative Support

 

Description: In this role you'll be responsible for providing administrative support throughout the training & events process. This role plays a crucial role in ensuring an efficient and effective process, ensuring the experience is positive, and providing additional support to the assessment team. You will work closely with the Head of Operations for TOpS Project Delivery to ensure that all training and events activities are carried out in a timely and effective manner. The role aligns to industry-level titles such as Training & Events Advisor.

Pearson were awarded the TOpS contract in April 2024, with the first test cycle to be completed in 2025/2026 window. The Advanced Associate, Administrative Support (Training and Events Advisor) will be supporting with ensuring that all requirements are met throughout the TOpS project, processing to meet tight deadlines alongside ensuring that all processing criteria is met. 

Key Responsibilities: 

To manage the scheduling, resourcing and organisation of a suite of meetings & events for TOpS, whilst ensuring that training events are delivered on time and on budget - these being online and/or in person based on requirements  

To liaise with suppliers and venue booking agencies ensuring we are achieving the best location and rates for training events where required  

To ensure that events are managed/supported by staff that are trained & competent 

To support innovation and change to improve the processes and add quality to the outcomes   

To ensure MI is maintained and updated regularly to ensure visibility throughout the life cycle of events  

To make best use of support staff and Pearson Associates resources to support the online standardisation events for markers 

To ensure that training attendance targets are met in accordance to forecasted demands by proactively contacting delegates to confirm attendance   

To answer customer queries within SLAs, via email, chat or phone 

Liaising with relevant stakeholders, both internally and externally, to ensure that operational protocols are adhered to   

To maintain and monitor the adherence of the payment schedule for markers   

Ensuring all processes are followed to maximise efficiency of timelines and accuracy with the team  

Take ownership of TOpS and its processes, including monitoring SLAs, attendance of regular meetings and training and supporting the team where required 

 

Key Challenges: 

It will be necessary for the post holder to quickly assimilate information on several distinct qualification suites, and to understand the differences in the management and delivery of these. Due to the nature of the examination process, the volume of work varies through the year. A key challenge of this is working on multiple projects at a time.   

 

Qualifications and Skills:

At least 3 years’ experience in an administrative/operational environment

Experience of working in a highly charged customer facing environment 

Excellent interpersonal skills  

Building and maintaining stakeholder relationships 

Working Pattern:   

Standard 37.5 hours a week, office hours, Monday - Friday but will be required to be flexible during busy periods including working at weekends during busy periods. Overtime may be paid or offered as time off in lieu.
