SECURITY ASSISTANT IV

MEANINGFUL WORK AND PERSONAL IMPACT
● Performs a variety of routine administrative tasks in support of the Customer's operations and security functions.
● Prepare and route administrative matters of all types pertaining to USARCENT Fox Company and the appropriate staff elements.
Receive, sort, review, and deliver mail and distribution materials for the office on the day of receipt.
● Receive, log, sort, and distribute classified mail IAW Army Regulation (AR) 380-5, Department of the Army Information Security Program.
● Review documents and prepare responses for routine inquiries ensuring responses are 95% free from errors.
● Manage and file all office filing records in accordance with The Army Records Information Management System (ARIMS).
● Monitor completion of suspense control items and review input for compliance with regulatory guidance.
● Prepare a variety of command reports and develop and present information to high level management officials and other authorities.
● Serve as graphics developer and maintain office graphics library.
● Use graphics and forms software to design and revise forms and presentation media for various reports and audit trails.
● Conduct qualitative analysis of administrative processes, work operations, and organization efficiency and recommend the application of administrative operating procedures to improve administrative functions to leadership.
● Maintain internal USARCENT Fox Company administrative policies, procedures and documentations to ensure compliance with all regulations and new guidance pertaining to administrative functions.
● Track implementation and compliance with internal USARCENT administrative policies and procedures.
● Monitor and document status of civilian and military personnel actions to ensure actions are requested and processed within the required timeframe and provide status reports on a daily, weekly, and monthly basis as needed via Daily Status Report and Personnel Status Reporting.
● Document Government recommendations concerning staffing needs, reassignments, training, performance requirements, and corrective measures as needed.
● Prepare documentation to assist managers, supervisors, and employees in the resolution of various administrative issues such as position changes, employee relations problems, appraisal/award processing, training, timekeeping, leave, withholdings, travel reimbursement, etc.
● Maintain records of personnel security clearances required/granted via Joint Personnel Adjudication System (JPAS) as applicable with a Secret Clearance and having required JPAS training.
● Reviews all levels of outgoing correspondence from all personnel within the Directorate for procedural, grammatical, spelling, and contextual accuracy.
● Performs personnel administration work including, time keeping, sick and annual leave program management, TDY management, data processing, project tracking and files management. Providing accurate and timely assistance to personnel.
● Recommends office budget and manages the internal supply program IAW the Command Supply Discipline Program (CSDP).
● Ensure all classified information is properly accounted for, controlled, transmitted, transported, packaged, disposed, and safeguarded IAW all applicable regulations and guidelines.
● Maintain applicable security directives, regulations, manuals, and guidelines, ensuring information is accurate and available for reference.
● Serve as housing POC for USARCENT Fox Company personnel.
● Serve as Unit Voting Assistance Program POC.
● Responsible for the submission of Personnel Security Investigations (PSI) by USARCENT Fox Company Security manager.
● Evaluates requests at the direction of the Security Manager for establishment and maintains and tracks security information files.
● Serve as the official POC for receiving visitor clearances / accesses.
● Process access requests to systems through System Authorization Access Requests (SAARs).
● Process and issue badges to secured buildings via Security Clearance Access Roster (SCAR).
WHAT YOU’LL NEED TO SUCCEED
Bring your Administrative expertise and drive for innovation to GDIT. The Security Assistant IV must have:
● Minimum of four years of experience performing, monitoring, and coordinating support services functions such as, communications, correspondence, directives, files and records, forms, graphics, physical security, and reports.
● Minimum of two years of experience performing, monitoring, and coordinating support services functions within the DOD.
● Minimum of two years of Human Resource / Administrative Specialist experience.
● Knowledge of the use of various information systems hardware and applications software, with specific emphasis on word processing and graphics, in order to advise directorate personnel is required, or the ability to gain knowledge and appropriate certifications to use those systems.
● Serve as Agency/Organization Program Coordinator Defense Travel System (DTS) but may not be assigned duties that are inherently governmental.
● Maintain Government Travel Card reporting systems (Citi Bank, GFEBs).
● Monitors, tracks, and updates Tour of Duty mobilization system requirements as needed.
● Basic knowledge and understanding of Microsoft Office Suite (Word, Excel, PowerPoint, etc.) and Adobe PDF.
● Must show understanding of Budget Reporting and Recording Systems (i.e. GFEBs, Excel, etc.) and able to obtain a certificate to gain access to Tasking Management System (TMT- Task Management Tool) for task tracking and updating as needed.
● Must have a minimum DoD Secret Clearance.
● Must be able to meet CENTCOM medical and deployment requirements for OCONUS.
