Administrative Specialist II
Description We are looking for a dedicated Administrative Specialist II to provide comprehensive support to a team of professionals in Juno Beach, Florida. This long-term contract position involves a variety of administrative and analytical tasks to ensure the efficient operation of department functions. The ideal candidate will utilize independent judgment and reasoning skills to manage moderately complex data and assist with general administrative duties. Responsibilities: • Provide administrative assistance to a department or group of professionals, ensuring smooth daily operations. • Compile, analyze, and interpret moderately complex data to support decision-making processes. • Prepare straightforward written summaries and reports based on analyzed data. • Maintain and organize both digital and physical filing systems for easy access and retrieval. • Process invoices, expense reports, purchase orders, and other financial documents accurately. • Assist with the reconciliation of accounts and verification of financial records. • Respond to internal inquiries and provide clarification regarding financial documentation. • Coordinate schedules, prepare documents, and manage correspondence for the department. • Support the implementation and validation of departmental procedures and plans. • Perform ad-hoc administrative tasks as needed to meet organizational goals. Requirements • High school diploma or equivalent education is required. • Minimum of two to four years of experience in an administrative or similar role. • Proficiency in data entry and documentation with strong attention to detail. • Familiarity with financial records, expense reports, and purchase order processing. • Ability to exercise independent judgment and employ basic reasoning skills. • Strong organizational skills to manage filing systems and schedules effectively. • Excellent written and verbal communication skills. • Competence in using digital tools and systems for administrative tasks.
