**POSITION DETAILS**
The Administrative Specialist ensures the smooth operations of the department of Curriculum and Teaching within the Hunter College School of Education. Reporting to the Chair of the department, the Administrative Specialist will:
+ Manage and coordinate the processing of HR related paperwork for new hires, appointment/personnel action forms and other HR related processes
+ Serve as a resource and support to departmental faculty and staff to ensure timely completion of appointments based on timelines provided by HR and the School of Education Dean’s Office.
+ Ensure that registration/permissions data are coordinated and accurately entered into CUNYFirst and respond to a variety of student questions regarding departmental offerings and procedures
+ Oversee a variety of administrative tasks within the department, providing support to the chair, staff and faculty as needed
+ Manage and monitor the department’s non-personnel budget, including but not limited to getting price estimates, processing purchase requisitions, reimbursement requisitions, and yearly budget projections.
+ Assist the Department scheduler to accurately record faculty workloads in various systems.
+ Develop and document departmental processes and procedures, providing guidance and clear transparent information on matters related to appointments, reappointments, budgets, and financial processes.
+ Maintain and update department information on webpages, and spreadsheets on a daily basis to keep records up to date
**QUALIFICATIONS**
Bachelor's Degree and four years' relevant experience required.
**Preferred Qualifications**
+ Familiarity with PeopleSoft Systems (e.g.: CUNYFirst)
+ Familiarity with office productivity software including MS Office Suite
+ Experience working with Human Resources and Accounting units
+ Experience managing large / long term projects such as department scheduling

- Provides instructions and basic advice to students, faculty, and others seeking information on department activities, policies, and schedules.

Once implemented, salaries of eligible employees will be adjusted by 6.09% with additional increases of 3.25% effective 9/1/2025 and 3.5% effective 9/1/2026, in accordance with the terms of the PSC-CUNY collective bargaining agreement.
