The University of Maine System is seeking to fill two Administrative Specialist CL2 positions to provide vital administrative and clerical support for the IT Infrastructure department. These positions play an essential role in ensuring the smooth operation of the department by managing contracts, billing, budgets, and vendor relations while also supporting efficient office processes and customer service.
Key Responsibilities: (include, but are not limited to)
+ Contract & Budget Administration: Preparing and managing contracts, billing for internal and external UMS customers, tracking and assisting in the maintenance of budgets, and reconciling accounts.
+ Vendor and Client Relations: Establishing and maintaining relationships with vendors, internal stakeholders, and external clients.
+ Office Process Management: Establishing, monitoring, reviewing, and improving office functions; clearly interpreting policies and processes for staff and external stakeholders.
+ Administrative Support: Scheduling meetings, managing calendars, and overseeing the purchase, operations, and maintenance of office equipment.
+ Training & Collaboration: Assisting in training other office staff on office policies, procedures, and processes.
The successful candidates will be well organized, have excellent communication and time management skills, and be able to prioritize work in a time-sensitive, deadline-driven environment.
Position Details
Schedule: Full-time, Monday–Friday, 8:00 a.m.–5:00 p.m.
Location: These positions may be remote or based at the Orono campus.
Funding: One position is fully university-funded. The second position is funded 50% by the University of Maine System and 50% by external (soft money) sources. Continuation of the soft money-funded portion is contingent upon the availability of funds.
Salary: The starting rate is $19.61/hour for new hires or the appropriate transfer rate for current employees within the ACSUM collective bargaining unit.

Required Qualifications:
+ High school diploma or equivalent (some college coursework preferred)
+ Minimum of 3 years of clerical or administrative support experience
+ Demonstrated experience managing and reconciling budgets and billing
+ Strong computer proficiency, including spreadsheets, Microsoft Office, and the ability to learn new programs quickly
+ Excellent communication and customer service skills
+ Strong organizational, time management, and prioritization skills in a deadline-driven environment
+ Ability to function independently as well as collaboratively in a team environment
