Job Title: Operational and Administrative Support Specialist

Job Description

We are seeking a dedicated and detail-oriented Operational and Administrative Support Specialist to provide day-to-day operational and administrative support. This role involves cross-departmental collaboration to ensure seamless workforce coordination, compliance functions, and vendor activities. You will manage schedules, priorities, and reporting while maintaining strong communication with sales representatives.

Responsibilities

Provide operational and administrative support across departments.Coordinate workforce, facilities, and compliance functions.Manage reporting, communications, and vendor activities.Multitask effectively to ensure operational coordination.Prioritize schedules and manage follow-ups.Track sales documentation and customer reporting.Coordinate accounts payable and work order approval.Track attendance, reporting absences and lateness.Create and explain documentation to sales representatives, ensuring clear communication.Collect timecards and communicate with contractors every Monday morning.Administer the 'Guaranteed Program' monthly, including data review, information gathering, report generation, and check distribution.Utilize ADP and Microsoft Office Suite, particularly Excel and Teams.

Essential Skills

Administrative and operations coordination experience.Proficiency in Microsoft Office (Outlook, Excel, Teams, Word).Strong organizational and prioritization skills.Excellent verbal and written communication skills.Attention to detail and data entry proficiency.University or post-secondary education in Business Administration or Office Management.

Additional Skills & Qualifications

Experience in warehouse, distribution, or supply chain environments (WMS experience).Experience in industrial or distribution center environments.Experience supporting senior leadership or operations teams.Post-secondary education in Business Administration or Office Management.

Work Environment

The position is primarily office-based, with 95% of work conducted on the computer using email and MS Teams. Occasional extended hours may be required, with overtime paid after 44 hours per week. Pay and Benefits

The pay range for this position is $29.00 - $31.50/hr.
